About the Role:

Park Schools Montessori is seeking a highly organized, detail-oriented, and dependable Full-Time School Secretary / Administrative Assistant to join our team. The ideal candidate will serve as the first point of contact for families, staff, and visitors while supporting daily school operations.
We are looking for someone who is professional, tech-savvy, proactive, and comfortable managing multiple responsibilities in a fast-paced school environment.
Responsibilities:

  • Welcome and assist parents, students, visitors, and staff in a friendly and professional manner
  • Answer phone calls, respond to emails, and manage school communications
  • Maintain accurate student records, files, documents, and administrative reports
  • Schedule appointments, meetings, tours, and school activities
  • Assist with enrollment, admissions paperwork, and parent inquiries
  • Organize and update digital and physical files
  • Prepare documents, forms, letters, spreadsheets, and presentations
  • Support teachers and school leadership with administrative needs
  • Manage calendars, reminders, and daily office tasks
  • Handle confidential information with professionalism and discretion
  • Perform other administrative duties as assigned
Qualifications:

  • Previous experience as a School Secretary, Administrative Assistant, Office Assistant, or similar role preferred
  • Strong computer and typing skills with accuracy and attention to detail
  • Proficient with Google Workspace (Gmail, Google Drive, Google Docs, Google Sheets, Google Calendar) and Microsoft Office tools (Word, Excel, PowerPoint, Outlook)
  • Excellent written and verbal communication skills
  • Strong organizational and time-management abilities
  • Ability to multitask and prioritize tasks effectively
  • Comfortable working in a busy environment with frequent interruptions
  • Friendly, patient, and professional when interacting with children, families, and staff
  • Reliable, responsible, and able to work independently
  • Strong problem-solving skills and willingness to learn new systems
Preferred Skills:

  • Experience working in a school, childcare center, Montessori environment, or educational setting
  • Experience with student management systems or office software
  • Fast and accurate typing skills
  • Customer service experience
