Job description

Northern Colorado Anesthesia Professionals PLLC (NCAP) is a longstanding and well-regarded anesthesia practice serving the anesthesia needs of Colorado Front Range communities and Southern Wyoming. We provide anesthesia and pain management services for UC Health’s Northern Colorado inpatient and outpatient surgical sites. NCAP also provide services to Good Samaritan Medical Center in Lafayette, Ivinson Memorial Hospital in Laramie, WY, as well as to other facilities in the region.
The incumbent in this position is responsible for utilizing QGenda scheduling software to create and manage the daily and long-term schedules for CRNAs and physicians for assigned hospitals/facilities. This position is also responsible for utilizing and maintaining multiple computer systems and databases to communicate and assist colleagues with projects. Serves as a backup for the daily scheduler.
**** Full-time normal business hours 8:00-4:30/ Periodic afterhours/weekend coverage of department phone required every third week. ****
Responsibilities:
  1. Contribute to the smooth operation and continued improvement of the Operations team by, for example:
  • Actively participating in interdepartmental meetings to continuously improve processes and procedures
  • Actively participating in department meetings to continuously improve department processes, flow of work, and team engagement
  • Actively seeking, proposing, and completing projects that would move the Operations department forward (e.g., improving efficiency, documentation of workflow, improve speed of completion, gathering trend data, etc.)
  • Developing strong, professional working relationships, both departmental and interdepartmental. Interacting with colleagues (via phone, email, and text) in a timely, professional, and respectful manner
  1. Schedule Development
  • Develop, enter, and maintain physician and CRNA schedules for assigned hospitals/facilities. Responsible for filling all open shifts that are gt;3 weeks from current date for assigned locations
  • Daily management of any changes in scheduling software e.g., Qgenda (shift swaps, early out requests, meetings) for assigned locations
  1. Scheduling Software Management
  • Develop, organize, and maintain PTO for CRNAs and vacation lottery for physicians
    • Act as a proxy for providers to enter PTO into Qgenda as needed
    • Approve requests in Qgenda
  • Enter new providers into Qgenda and remove terminated providers as needed
  • Set up new tasks and tags in Qgenda as directed
  • Obtain PRN CRNA availability for assigned hospitals/facilities and enter into Qgenda
  1. Provider Data Management
  • Track documents and timeframes associated with facility privileging
  • Manage the expirables process to ensure all provider licenses and certificates remain current, ensuring appropriate notification prior to expiration
  • Coordinate with providers to obtain missing, incomplete, and expiring items
  • Coordinate with other departments as needed for licensure priority according to staffing needs
  • Understand and maintain an accurate, secure and updated database of provider information
  • Ensure all documentation is complete and submitted within set deadlines
  1. Other duties
  • Operations team phone on-call rotation with other operations team members
  • Receive requests for anesthesia provider via email/phone; enter into special requests calendar
  • Serve as subject matter expert for QGenda (scheduling software)
  • Cross-train on other duties in the department
  • Maintain confidentiality (PHI/HIPAA)
  • Answer general office phone line and direct callers as needed
  • Administrator for different databases
  • All other duties as assigned
Qualifications, Skills, and Experience:
  • High school diploma or equivalent.
  • 1-3 years’ high volume scheduling experience, preferably in a healthcare setting.
  • Good working knowledge of Microsoft Office applications including Word, Excel, Teams, Publisher, and SharePoint.
  • Ability to learn and use unique software programs, including QGenda and ePreop.
  • Ability to follow directions, to work autonomously, and to work well as part of a team.
  • Strong interpersonal skills. Strong verbal and written communication skills. Must be able to speak and read English.
  • Ability to manage a large volume of incoming information and process it in a timely manner, including incoming provider emails/texts/calls.
  • Ability to prioritize work projects and work under pressure to meet frequent deadlines.
  • Ability to work on multiple projects throughout the day and achieve timely work completion.
  • Ability to look ahead and forecast upcoming schedule issues.
  • Attention to detail is critical.
  • Basic medical terminology is helpful.
