Purchasing Agent Assistant
Reports to: Purchasing Agent / Director of Purchasing
Classification: Hourly, Non-Exempt/ Full-Time
Job Summary
This position supports Purchasing Agents within assigned departments by providing vendor customer service, coordinating follow-up on purchasing activities, and assisting with special projects as assigned by the Purchasing Agent or the Director of Purchasing. Responsibilities include maintaining effective vendor relationships, tracking project progress, ensuring timely follow-up, and providing administrative support to help achieve departmental purchasing objectives.

Essential Functions
  • Perform, monitor amp; manage entry of all new items into our system.
  • Create and test EDI ordering process of vendors within areas of specific departmental responsibilities.
  • Review Ads for in stock position amp; ensure Ad orders are here and to stores on time.
  • Review and record Ad results after Ad Event ends.
  • Follow-up/ Processing of Invoice discrepancies.
  • Review and updating of MSL’s based on Purchasing Agent direction.
  • Update vendor maintenance information.
  • Review outstanding orders and follow up on orders not received past ship / cancellation dates.
  • Manages calls, email, distribution center and store issues, along with scheduling appointments for Purchasing Agent.
  • Ad entry in Adserts amp; KCX systems.
  • Manages Store Ad/scanning (all clerical) type issues.
  • Generate reports and orders from company computer software on a regular basis.
  • Provide new SKU information to our Ecommerce team.
  • Organize and execute routine price checks on key items.
  • Create and/or release purchase orders as directed by the purchasing agent.
  • Post critical departmental information on Company Learning Management System.
  • Assist at our Farm amp; Home Supply store locations for product resets and Grand Openings.
  • Travel to trade shows will be required 2 twice a year via plane or vehicle.
  • Lifting capability up to and includes 25lbs.
  • Consistent attendance for regularly scheduled shifts is required.

Minimum Requirements of Training and Experience
The ideal candidate must possess strong computer skills, including proficiency in Excel and Microsoft Office, as well as excellent organizational abilities. They should be detail-oriented, highly accurate in data entry, and demonstrate solid mathematical and analytical skills, along with strong communication abilities. Previous retail experience preferred but not required.
