About Us
We are a boutique two-attorney elder law firm dedicated to providing compassionate, personalized, and high-quality legal services to our clients. We are seeking an experienced and detail-oriented Legal Secretary to join our team in Westfield, New Jersey.
The ideal candidate is highly organized, proactive, professional, and capable of managing multiple priorities in a fast-paced legal environment while maintaining exceptional attention to detail. Candidates with accounting experience and/or Human Resources (HR) experience are strongly preferred, as the role may involve supporting administrative, financial, and personnel-related functions within the firm.
Key Responsibilities
  • Manage and maintain attorney calendars, including scheduling appointments, meetings, court appearances, and deadlines.
  • Coordinate communications with clients, courts, opposing counsel, and other parties.
  • Answer and direct incoming phone calls in a professional and courteous manner.
  • Prepare, format, proofread, and distribute legal documents, correspondence, and client communications.
  • Maintain and organize case files, records, and legal documents.
  • Track deadlines and ensure timely completion of tasks across multiple matters.
  • Provide administrative and office support to attorneys as needed.
  • Assist with client intake, appointment scheduling, and general office operations.
  • Support basic accounting functions, including invoice tracking, expense management, billing coordination, and record keeping.
  • Assist with HR-related administrative tasks, including employee documentation, onboarding support, benefits administration, and personnel record maintenance, as needed.

Qualifications
  • Minimum of 2 years of experience as a Legal Secretary or in a similar legal support role.
  • Strong written and verbal communication skills.
  • Excellent organizational and time-management abilities.
  • Ability to prioritize multiple assignments and meet deadlines with accuracy.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
  • High level of professionalism, discretion, and attention to detail.
  • Experience working in a law firm environment preferred.
  • Experience in elder law, estate planning, probate, or related practice areas is a plus.
  • Accounting, bookkeeping, payroll, or billing experience preferred.
  • Human Resources (HR) administrative experience preferred.
