Payroll Specialist

The Opportunity

The Payroll Specialist will manage end-to-end payroll processing functions within the organization, ensuring absolute accuracy and compliance with local, state, and federal tax regulations. This role requires a candidate with a firm understanding of United States payroll processing and the technical expertise to submit payroll data to ADP GlobalView for processing.

At Hitachi Energy, our Workday system is integrated with ADP GlobalView, and the specialist will be responsible for managing this data flow across both Weekly and Semi-Monthly payroll cycles, as well as processing off-cycle payments as needed. The ideal candidate will be a proactive collaborator capable of working closely with leadership and navigating a fast-paced environment with a positive approach to work.

Key Responsibilities

Payroll Execution: Execute Weekly and Semi-Monthly payrolls, including the processing of off-cycles, while verifying the accuracy of timesheets and hours worked.

System Integration: Manage and submit payroll data utilizing the Workday-to-ADP GlobalView integration, ensuring seamless data flow and integrity across platforms.

Leadership Collaboration: Partner with leadership, HR, and Finance departments to ensure accurate employee data management and alignment on organizational goals.

Vendor Management: Regulate the performance of third-party payroll vendor (ADP) and partner to implement proactive pre-payroll solutions to reduce errors.

Data Integrity: Maintain and update employee payroll records for new hires, terminations, leaves of absence, promotions, and salary changes.

Compliance & Auditing: Ensure strict compliance with federal, state, and local payroll laws. Conduct regular audits of payroll data (deductions, bonuses, and garnishments) to resolve discrepancies.

Involuntary Deductions: Manage the initial review and logging of garnishments, child support orders, tax levies, and creditor levies.

Calculations: Verify system prorations and perform prevailing wage calculations, retro pay calculations for mid-period changes.

Reporting: Prepare and review payroll reports, assist in quarterly and annual tax filings, and support year-end reporting, including W-2 processing.

Service Excellence: Adhere to ServiceNow SLA/KPIs case management and respond promptly to employee inquiries regarding pay, taxes, and deductions.

Continuous Improvement: Engage in payroll-focused initiatives, focusing on process simplification, automation, and system configuration, such as wage types and pay codes.

Knowledge Sharing: Deliver training sessions to peer team members; work professionally and amicably with internal and external partners; highlight best practices; document work flows and operating procedures.

Your Background

Education: Bachelor's degree in Finance, Accounting, Human Resources, or a related field preferred.

Experience: 5+ years of solid payroll processing experience.

Technical Skills:

o Proficiency in ADP GlobalView (ADP GV), SAP, and Smart Compliance.

o Strong working understanding of Workday, specifically in an integrated environment.

o Advanced knowledge of Microsoft Excel and Office Suite.

Knowledge: Deep understanding of United States federal and state payroll regulations and tax laws, including multi-state requirements.

Certifications: Certified Payroll Professional (CPP) designation is highly preferred; not required.

Core Competencies:

o Strong communication and interpersonal skills with the ability to provide clear analysis to stakeholders.
