JOB SUMMARY: Reporting to the General Manager, our next Administrative Assistant will be responsible for organizing, planning, and updating all administrative tasks related to operations. The position of HR administrative assistant at our residence for the elderly is a temporary full-time position (40 hours/week) from 8:00 am to 5:00 pm. MAIN RESPONSIBILITIES: Administrative management: Enter and track resident admissions and departures in the system; Produce the invoice; Basic accounting principles With expertise in invoicing with suppliers, Be comfortable with how payroll works Develop billing schedules for partner clients; Produce the collection documents and make the deposits to the bank; Update the CSSS bed care level documents as directed by the director of care; Prepare the follow-up of notices of departures or deaths / termination; Ensure payment verification and follow up on payment delays; Follow up on communications with residents and their families; Create and supervise the petty cash fund for residents and special cases, guardianship. Staff time management: Supervise the administrative agent during working hours. Ensure the production of staff schedules and the application of availability management rules. Monitor leave and vacation requests and authorize them. Collaborating in payroll processing and ensuring the application of various bonuses. Indicate all identified exceptions via payroll notes. Ensure the opening, closing and updating of employee files, and ensure various communications with the payroll and human resources department. Reception : Supervise the work of the reception staff. Provide training for new staff. Organize work schedules. Required qualifications: Diploma in administrative or office technology 3 years of experience in a similar position Experience in a unionized environment is an asset Outgoing, welcoming, available for employees Discretion and respect for confidentiality Keen sense of work organization Skills in personnel management Basic knowledge of collective agreements is an asset Basic knowledge of labor standards Autonomy Excellent knowledge of the Office suite, particularly Excel.
