Responsibilities
  • Stock and maintain kitchen, coffee/snack bar, and conference room supplies
  • Clean and reset conference rooms between meetings
  • Load, unload, and maintain the dishwasher; clean the kitchen daily and after firm luncheons
  • Stock and maintain the women's restroom, including feminine hygiene products
  • Clean out office refrigerator every Friday
  • Ensure new employee offices are fully cleaned, stocked, and prepared (supplies, backpack, workspace setup)
  • Serve as backup receptionist, covering the front desk during lunch hours, PTO, or other absences
  • Greet clients, answer and route calls, and maintain professional front-desk operations
  • Pick up, sort, and distribute daily mail; scan/email mail items as needed
  • Distribute incoming packages (UPS/FedEx) to secretaries
  • Assist attorneys, paralegals, and secretaries with mail-outs
  • Provide copying support for attorneys, paralegals, and secretaries
  • Assist with miscellaneous projects and ad hoc tasks as assigned
Experience
  • Prior office services, administrative, or receptionist experience (law firm experience a plus).
  • Strong organizational skills and attention to detail.
  • Excellent interpersonal and communication skills; professional and courteous demeanor.
  • Ability to lift/move supplies and packages (reasonable weight).
  • Proficiency with office equipment (copiers, scanners, postage machines).
  • Reliability and punctuality-must be present in office Monday-Friday.
  • Familiarity with mail handling, shipping platforms, and conference room management.
  • Ability to anticipate office needs and take initiative without close supervision.
