Job description

Front Desk / Administrative Support Specialist

Nalu Federal is seeking a professional, dependable Front Desk / Administrative Support Specialist to support the Military & Family Readiness Center at Hanscom Air Force Base. This is a full-time, on-site position supporting military members, families, retirees, and other customers through front desk reception, administrative support, scheduling, customer service, and data-entry activities.

This position requires excellent interpersonal skills, professionalism, strong attention to detail, and the ability to work effectively in a busy customer-facing environment.

Primary Responsibilities
  • Greet visitors and provide professional front desk customer service.
  • Answer incoming telephone calls and determine the nature of each inquiry.
  • Direct customers to the appropriate Military & Family Readiness Center staff member or program.
  • Schedule customers for classes, workshops, and other M&FRC services.
  • Provide clear information regarding routine programs, services, and procedures.
  • Enter and maintain information in Air Force and Department of Defense web-based systems, including AFFIRST and Transition Assistance Program systems.
  • Schedule Transition Assistance Program workshops and send reminder communications to participants.
  • Maintain accurate client sign-in information.
  • Prepare monthly client usage and data-entry reports.
  • Maintain an organized and professional front desk/reception area.
  • Maintain and organize publications, resources, chairs, and customer materials.
  • Report equipment or facility issues to appropriate personnel.
  • Perform other related administrative and customer-support duties associated with the M&FRC mission.

These responsibilities closely track the PWS, including reception, scheduling, AFFIRST/TAP data entry, customer communications, client sign-in, monthly reporting, and maintenance of the front desk area.

Minimum Qualifications
  • At least one year of customer service experience in a professional or business environment.
  • Strong verbal and written communication skills.
  • Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, and Windows.
  • Comfortable working with web-based applications such as Microsoft Edge and Chrome.
  • Strong data-entry and organizational skills.
  • Ability to accurately enter and maintain records and complete assigned tasks within established deadlines.
  • Ability to interact professionally with a diverse population.
  • Ability to receive task direction and training while remaining organized and self-directed.

The PWS specifically requires Microsoft Office proficiency and at least 12 months of customer-service experience.

Preferred Qualifications
  • Previous experience supporting the U.S. military, Department of Defense, veterans, military families, or a government organization.
  • Familiarity with military protocol and military family-support programs.
  • Previous front desk, administrative assistant, customer service, scheduling, or data-entry experience.
  • Experience handling sensitive or personally identifiable information.

A basic understanding of military protocol, military support organizations, and family systems is preferred.

Work Schedule and Location

This is an on-site position at Hanscom AFB, MA 01731. The normal workweek is Monday through Friday, 40 hours per week. Employees may begin as early as 7:30 a.m. but no later than 8:00 a.m. The position includes a 30-minute unpaid lunch period. Federal holidays are observed in accordance with the contract.

Security and Base Access Requirements

The selected candidate must be able to obtain and maintain access to Hanscom AFB and a Common Access Card (CAC). This process includes background screening and fingerprinting. The employee must also complete required security and Information Assurance training and obtain a favorable security background determination before accessing Government systems.

Candidates selected for consideration must provide a resume and at least three professional references.

Compensation

$24.00 per hour, plus $5.09 per hour in Health & Welfare benefits in accordance with the applicable Service Contract Labor Standards requirements.

This is a full-time position supporting a federal contract. Final employment is contingent upon contract award, Government approval of the candidate, successful completion of required background/security processing, and ability to obtain base access. The Government has stated that candidate suitability is reviewed based on the resume and that contractor hires are ultimately subject to Hanscom approval.
