Summary
It is the responsibility of the Freight Ops Coordinator to perform administrative and project coordination work for the freight operations team. Supports the Assistant Director, Director and/or the VP of Freight Operations in the development, reinforcement, and alignment of branch freight operations with the overall goals and strategy. Documents progress, track submitted audit results, and files reports to maximize operational efficiencies and execution. Assists the Lead FO Travelers with resources necessary to reduce events. Schedules and plans travel and per diem for travelers. Communicates with directors and managers and handles day-to-day administrative duties required and as assigned. Professionaly interacts with customers, team members, and third-party vendor/partner relationships to provide the highest level of customer service.
This position will support our Event & Exhibit Services team. The position follows an in-person schedule working full-time in-office and/or show-site based out of Atlanta, GA.
Essential Duties & Responsibilities
  • Use a variety of office software applications to organize, develop,and analyze freight informaton including but not limited to email, Freight Billing Recap, Labor Budget Tool, Microsoft Word and Excel, Share point, TSS and Concierge Elite Admin.
  • Develop and modify practices that improve the workflow of documents.
  • Assist with data entry of department schedule. Assist with arranging travel for show site support.
  • Assist and support show site operations as needed.
  • Order office supplies as needed.
  • Professionally interact with co-workers, customers and vendors.
  • Assist branch Freight Operations by assigning qualified travelers to perform work as Leads upon request.
  • Produce accurate payroll forms, timecards or timekeeping system for Lead Freight Operations Travelers working on shows.
  • Professionally interact with Freight Operations staff and employees to provide the best possible service.
  • Track and file branch audits to ensure achieved performances are recorded accurately.
  • Assist with freight related technology projects and new rollouts of freight operations technology and training.
  • Assist with the training of Lead Freight Operations Travelers.
  • Build and solidify partnership with Exhibitor Services create a more singular approach to the execution, billing, and follow-up with our customers.
  • Schedule, prepare and participate in the quarterly Freight Operations conference calls and annual meetings.
  • Document and update the development and maintenance of policies and procedures for the Freight Procedures Manual and Freight Trapping Procedures Manual.
  • Track and file the completed training and goals that are aligned to Freight Operations target audience (Directors, supervisors, marshalling, warehouse, etc.) both full-time and part-time.
  • Conduct clerical and administrative tasks as directed.
  • Participate in a specific event as required.
  • Perform other duties as requested.

Education & Experience
  • High School diploma or equivalent required.
  • 2+ years of trade show or related experience is required.
  • Must be familiar with: Freight Procedures Manual, Freight Operations Page on the Resource. Preshow planning Guides, Post-show Recaps, TSS Freight Reports, etc.
