Job description

The Leasing Associate is responsible for supporting the day-to-day leasing, sales, and marketing operations of their assigned site. Reporting to the Community Manager, this role serves as a front-line ambassador for the community - guiding prospective residents through the entire leasing journey, executing marketing and outreach initiatives, processing lease documentation accurately and in compliance with applicable laws, and delivering an exceptional resident experience that supports occupancy, retention, and revenue goals. 

What You Will Do 

Leasing & Sales 

  • Manage the full leasing cycle from initial inquiry through application, approval, lease execution, and move-in, ensuring a seamless and welcoming experience at every touchpoint. 
  • Conduct engaging, personalized property tours that highlight community features, amenities, and lifestyle benefits, tailoring the presentation to each prospect's needs and motivations. 
  • Respond promptly and professionally to prospect inquiries across all channels - phone, email, text, chat, and walk-in - maintaining consistent and timely follow-up to move prospects through the sales funnel. 
  • Apply effective sales and closing techniques to convert leads into signed leases, consistently working toward individual and community occupancy, leasing velocity, and revenue goals. 
  • Accurately prepare, process, and audit lease applications, renewals, addenda, and related documentation, verifying that all information is complete, correct, and compliant with company and legal standards. 
  • Maintain detailed and current prospect, applicant, and resident records in the leasing/CRM system, ensuring data integrity and an accurate view of the leasing pipeline. 
  • Stay informed on current availability, pricing, specials, lease terms, and competitor offerings to provide accurate information and position the community competitively in the market. 

Marketing & Outreach 

  • Execute the community's marketing plan, including digital marketing, social media content, advertising listings, signage, and promotional campaigns, to drive qualified traffic to the property. 
  • Plan, coordinate, and staff in-house resident events and on-site activities that strengthen community engagement and support retention. 
  • Build and maintain relationships with local businesses, universities, and community partners through outreach marketing to generate referrals and expand the prospect pipeline. 
  • Monitor market trends, competitor activity, and the effectiveness of marketing efforts, sharing observations and recommendations with the management team. 

Resident Experience & Retention 

  • Deliver hospitality-driven service to prospects, residents, and guests, serving as a knowledgeable and approachable point of contact for questions, concerns, and requests. 
  • Coordinate and support a smooth move-in and move-out experience, including preparing welcome materials, conducting walk-throughs, and ensuring units and common areas are tour- and move-in ready. 
  • Address resident inquiries and service issues promptly, escalating to the appropriate team member when needed and following up to ensure timely resolution. 
  • Support resident renewal efforts through proactive outreach, relationship building, and communication of renewal offers and community value. 

Compliance & Standards 

  • Adhere to all Fair Housing laws, federal, state, and local regulations, and company policies and procedures in every interaction, application, and lease transaction. 
  • Maintain accurate, organized, and audit-ready resident and leasing files, ensuring proper documentation and confidentiality of sensitive information. 
  • Uphold brand and company standards, ensuring the leasing office, model units, tour paths, and common areas are consistently presented in an exceptional, market-ready manner. 
  • Follow established procedures for handling deposits, payments, and other financial transactions accurately and in accordance with company controls. 

Administrative & Reporting 

  • Complete daily, weekly, and monthly leasing, traffic, and marketing reports accurately and on time, providing reliable data to support management decision-making. 
  • Perform general administrative and front-office duties, including answering phones, managing correspondence, maintaining supplies, and keeping the leasing office organized. 
  • Collaborate with the Community Manager, Community Leasing Manager, and Regional Manager on special projects and assignments as needed. 
  • Complete all assigned HR/People Operations-related tasks and required training in a timely manner. 

Work Schedule 

  • This is a non-exempt, hourly position; all hours worked must be accurately recorded, and overtime must be approved in advance in accordance with company policy. 
  • Must be able to work a full shift and the required work schedule on-site at the property. 
  • Must be available for additional hours as business needs require, including evenings, weekends, holidays, on-call shifts, and overtime, particularly during peak leasing season. 
  • Must be available to assist with move-outs, turn, and move-ins that may extend beyond normal full-time hours. 

Physical Demands 

  • Must be able to lift and move objects weighing up to 50 pounds regularly, as required by the demands of the job, which may include bending, stooping, kneeling, and lifting throughout the workday. 
  • Must be able to remain on your feet and move about the property for extended periods, including walking tours, stairs, and outdoor areas in varying weather conditions. 
  • Must be able to sit, stand, and use a computer and standard office equipment for extended periods while performing administrative tasks.

Ideally, you'll have 

  • Experience in sales, customer service, leasing, property management, hospitality, or a related field. 
  • Strong sales and closing skills with a customer-focused, relationship-driven approach. 
  • Excellent verbal and written communication skills and a professional, hospitality-oriented demeanor. 
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities, meet deadlines, and maintain accurate records. 
  • Working knowledge of Fair Housing laws and a commitment to compliance and confidentiality. 
  • Proficient in Microsoft Office products and comfortable working across Windows and Apple operating systems. 
     

You'll crush it if you have experience with 

  • Student housing or multifamily leasing experience. 
  • Experience with Entrata or a comparable property management/CRM software. 
  • Experience with social media, digital marketing, or community outreach.
