The Fleet Service Administrator provides essential administrative support to the Fleet Service department while serving as the front-line representative of the company. This role manages purchase orders and ensures accurate vendor payments. This role supports all Fleet Service Regions to ensure smooth invoicing operations.

LOCATION

On-site in Fort Wayne, IN

Hours of operations

Monday through Friday 8:00 AM to 5:00 PM

Compensation

Hourly Rate of $23-$26 per hour + Benefits that start day one

RESPONSIBILITIES

  • Process all weekly purchase orders accurately in DoApp.
  • Communicate with Fleet Service Coordinators to collect and correct missing or inaccurate paperwork.
  • Create and invoice all Service Bill Backs.
  • Assist as needed in routing incoming emails to the appropriate Fleet Service Coordinator.
  • Coordinate communication between Fleet Service and Accounting to ensure requests are handled efficiently.
  • May be responsible for communicating customer service bill backs

REQUIREMENTS

MUST HAVE

  • High school diploma or equivalent
  • Strong data entry skills and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Excellent communication skills, both written and verbal
  • Ability to handle multiple tasks and prioritize effectively in a fast-paced environment
  • Strong organizational skills and ability to maintain accurate records
  • Works well in a team environment
  • Detail-oriented and self-motivated
  • Comfortable working cross-functionally with Fleet, Finance, Sales, and Customer Service teams

NICE TO HAVE

  • Experience in Accounting, Invoicing, or Purchase Order processing
  • Familiarity with Fleet Service
  • Prior Customer Service Experience
  • Previous experience in an administrative, accounting, or customer service role
  • Strong technical knowledge of fleet equipment, service, and repair processes
