Job Summary:

The Manager, Fleet Operations is responsible for overseeing all day-to-day activities to ensure that Quixoteโ€™s New Jersey-based fleet assets, including motorhomes, trucks, trailers, generators, and other equipment are fully cleaned, inspected, maintained, and rental ready. The role ensures smooth operations, proper inventory management, and compliance with industry standards for film and television production. Additionally, the role will be responsive for service calls when the assets are out on rent. This position requires a detail-oriented leader with strong organizational and operational management skills, capable of handling fast-paced environments typical of the entertainment industry.

What Youโ€™ll Do:

  • Fleet Management

    • Oversee daily operations to ensure all assets (Trucks, Trailers, Generators, etc.) are cleaned, inspected, maintained, and ready for rental.

    • Manage the repair, servicing, and maintenance schedules of all assets and equipment, including management of mechanic and body shop teams.

    • Ensure a strict process of pre-delivery and after-return inspection of the units is maintained.

    • Address directly or oversee team or third-party vendors to oversee field service calls

    • Establish and maintain relationships with external vendors for repair and maintenance services.

  • Client Relations

    • Collaborate with clients, rental agencies, and production teams to ensure that all assets meet their specific needs and are delivered on time.

    • Resolve any client-related issues promptly and professionally.

    • Communicate clearly, accurately, and professionally with all clients.

  • Operations Management:

    • Ensure accurate issuance of work orders and tracking of assets across various stages of inspection, cleaning, and maintenance.

    • Ensure system software adaptation and usage to improve the efficiency of inventory management, asset quality and asset tracking.

    • Develop and implement operational procedures to maintain efficiency and quality across all fulfillment processes.

    • Ensure compliance with safety regulations and standards in asset maintenance, handling, and storage.

    • Oversee and ensure adherence to department of transportation regulations and compliance standards for trucking operations, vehicle maintenance, and record keeping.

    • Develop and adhere to location and fleet specific repairs & maintenance and operations budgets.

  • Team Leadership:

    • Manage, mentor, and develop a team of operational staff responsible for cleaning, inspecting, and preparing assets.

    • Review timecards, set clear performance expectations, conduct performance reviews, and provide training and coaching to ensure high standards.

    • Work cross-functionally with other departments (e.g., procurement, logistics, asset management, sales) to streamline operations.

  • Process Improvement:

    • Continuously evaluate and improve operational workflows to enhance productivity and reduce downtime.

    • Lead initiatives to implement technology solutions (e.g., Record 360 Quality assessment, Stealth Dashboard, New Electric Vehicle launches, etc) that drive efficiency and quality control.

    • Participate in special projects, fleet initiatives, and operational improvements as assigned.

  • Reporting & Analytics:

    • Create and maintain detailed reports on operational performance and maintenance schedules.

    • Provide insights and recommendations to management based on data analysis to improve operational outcomes.

What Youโ€™ll Need:

  • 5+ years of experience in operations, rental operations, or asset-based environments.

  • Hands-on experience managing equipment, vehicles, or inventory, including inspections, maintenance, and readiness.

  • Knowledge of safety and DOT compliance related to vehicles and equipment operations.

  • People management experience, including supervising staff and driving performance.

  • Experience with inventory, asset tracking, or rental software systems.

  • Strong vendor, client, and cross-functional communication skills.

  • Ability to manage multiple priorities, meet deadlines, and work effectively in fast-paced environments.

  • Strong organizational and reporting skills, with attention to detail and process improvement.

  • Excellent computer skills and ability to quickly learn different computer programs and software.
