Job DescriptionAutomotive Warranty AdministratorPosition Summary

The Automotive Warranty Administrator is responsible for the accurate and timely processing of manufacturer warranty claims while ensuring compliance with all manufacturer, dealership, and accounting policies and procedures. This position serves as a liaison between the Service Department, Parts Department, Accounting Department, and manufacturer representatives to ensure warranty reimbursements are received promptly and accurately. The Warranty Administrator must maintain a high level of organization, attention to detail, and professionalism while supporting the overall success of the dealership's Fixed Operations Department.

Essential Duties and Responsibilities
  • Prepare, review, and submit manufacturer warranty claims accurately and within required submission deadlines.
  • Verify warranty eligibility and ensure all claims meet manufacturer policies, procedures, and documentation requirements prior to submission.
  • Review repair orders for completeness and accuracy, ensuring proper coding, labor operations, technician comments, parts usage, and supporting documentation.
  • Monitor warranty claim activity and reconcile manufacturer warranty receivables with payments through the dealership accounting system.
  • Research, correct, and promptly resubmit rejected or unpaid warranty claims. Obtain management authorization for claim adjustments or write-offs when necessary.
  • Follow up on outstanding warranty receivables to ensure timely reimbursement.
  • Maintain organized warranty files and records in accordance with manufacturer retention policies and dealership standards.
  • Prepare documentation and assist during manufacturer warranty audits, responding promptly to audit requests and corrective actions.
  • Remain current on manufacturer warranty policies, recall campaigns, technical service bulletins (TSBs), service programs, and procedural updates.
  • Collaborate effectively with Service Advisors, Technicians, Parts Personnel, Accounting, and dealership management to resolve warranty-related issues.
  • Provide administrative and clerical support to the Fixed Operations Manager as requested.
  • Maintain confidentiality of dealership, customer, and manufacturer information.
  • Maintain a professional appearance, positive attitude, and organized work environment.
  • Perform additional duties and special projects as assigned by management.
Qualifications
  • Previous automotive dealership warranty administration experience preferred.
  • Working knowledge of manufacturer warranty policies and claim submission procedures.
  • Experience with dealership management systems (CDK, Reynolds & Reynolds, Tekion, Dealertrack, or similar) preferred.
  • Strong analytical, organizational, and problem-solving skills.
  • Exceptional attention to detail with the ability to identify and resolve discrepancies.
  • Proficiency in Microsoft Office applications, including Outlook, Excel, and Word.
  • Ability to manage multiple priorities while consistently meeting deadlines.
  • Excellent verbal and written communication skills.
  • Ability to work independently while contributing effectively as part of a team.
  • High school diploma or equivalent required; additional automotive or administrative training is preferred.
Work Schedule

This is a full-time position requiring availability Monday through Saturday during dealership business hours. One day off will be assigned each week in addition to Sunday, as we are closed.

Physical Requirements
  • Ability to sit for extended periods while performing computer-based work.
  • Ability to use standard office equipment, including computers, telephones, printers, and scanners.
  • Ability to lift and carry files or office materials weighing up to 20 pounds.
  • Ability to move throughout the dealership as necessary to communicate with various departments.
