The finance/accounting and human resources teams at All Energy Solar are committed to supporting our employees while driving the company’s strategic initiatives forward. We are seeking a resourceful and skilled Payroll amp; Payable Specialist to join our department and ensure that all payroll and payables processing remains smooth, efficient, and fully compliant. Our ideal candidate possesses extensive knowledge of payroll regulations and compliance, alongside a strong proficiency in HCM system reporting and functionality. While Paycor HCM/HRIS experience is highly preferred, the role requires an onsite, full-time exempt professional who will report to the Controller and maintain a dotted-line reporting relationship with the Director Human Resources. Responsibilities amp; Essential Functions

Payroll

  • Process bi-weekly, commission, bonus, and prevailing wage payrolls for all employees, ensuring accurate, timely payments.
  • Calculate and enter additional compensation, including incentives, retro pay, and reimbursements.
  • Handle voluntary and legally regulated involuntary deductions, including tax levies and garnishments.
  • Prepare manual checks for terminations and discrepancies per company policy.
  • Manage year-end payroll reconciliations and W-2 administration.
  • Perform administrative and statistical duties needed for payroll preparation.
  • Partner with HR, Finance, Accounting, Sales, and Operations to coordinate cross-functional pay activities.
  • Conduct routine data-integrity checks on payroll information.
  • Manage data reporting and audits, including EEO-1 filings, Benefits Statements, and survey reports.
  • Facilitate payroll system upgrades and related employee training.
  • Audit systems for accuracy, recommend enhancements, and support users with training manuals.
  • Investigate and resolve payroll inquiries, errors, and discrepancies.
  • Recommend new procedures to enhance HR efficiency and the employee experience.

Accounts Payable

  • Manage the processing of vendor invoices through Stampli, ensuring full compliance with company regulations and protocols.
  • Adhere to established company guidelines for accurate invoice coding and authorization.
  • Collaborate closely with the Purchasing team to identify and resolve any discrepancies between purchase orders and vendor invoices.
  • Maintain regular communication with internal parties to secure timely approvals and ensure punctual payments.
  • Handle miscellaneous financial disbursements, including the review and processing of employee expense reimbursements.

Accounts Receivable

  • Cash Application: Handle incoming payment streams and deposit physical checks utilizing a check scanner.

Other Duties

Skills/Qualifications

  • Between 3 to 5 years of experience in payroll and AR/AP along with a high school diploma or GED is required; however, an Associate's or Bachelor's degree in Finance, HR, Accounting, Business, or a related field is preferred. An equivalent combination of education and professional experience will also be considered.
  • A proven track record in administrative roles within Finance, HR, or Accounting, specifically emphasizing extensive payroll processing expertise.
  • Candidates holding Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) status are highly encouraged to apply.
  • Established background in managing multi-state U.S. payroll operations for a workforce exceeding 250 employees.
  • Expertise in HR systems and procedures, with a strong preference for individuals familiar with Paycor HCM/HRIS.
  • In-depth familiarity with advanced payroll practices including Prevailing Wage expertise and administration..
  • Comprehensive understanding of employer and employee payroll tax obligations.
  • Superior analytical and problem-solving capabilities, including the ability to reconcile complex data sets effectively.
  • Exceptional communication and interpersonal skills, spanning written, verbal, and presentation formats.
  • A self-motivated professional with a keen eye for detail, capable of working independently with minimal oversight.
  • Strong multitasking skills with the ability to prioritize duties in a collaborative, high-energy environment.
  • Applied knowledge of employment laws and regulations, such as FLSA, FMLA, EEO/AAP, ADA, Title VII, ERISA, and COBRA.
