Job Summary: 

The Office Experience Coordinator serves as the first point of contact for Telamon's employees, clients, and guests-representing the company with professionalism, warmth, and a focus on service excellence. This position is responsible for creating a welcoming environment in the Carmel headquarters, ensuring smooth front office operations, and providing administrative support across departments.

As the company's first impression, the Office Experience Coordinator demonstrates Telamon's values of Choose Excellence, Always Adapt, Own It, and Win Together through exceptional communication, attention to detail, and proactive support.

 
Essential Duties and Responsibilities:
  • Warmly greet and welcome all visitors, clients, and employment applicants; determine the nature of their visit and direct them appropriately.
  • Manage the main phone line by operating a multi-line switchboard, screening calls, and routing inquiries to the appropriate employees.
  • Maintain front desk security and safety procedures, including guest sign-in and building access protocols.
  • Ensure the reception and lobby areas are tidy, organized, and representative of Telamon's professional image.
  • Receive, sort, and distribute daily mail, packages, and deliveries; coordinate outgoing shipments, including UPS processing.
  • Coordinate and order working lunches for Carmel headquarters and remote employees as requested.
  • Order and maintain office and breakroom supplies, ensuring proper inventory levels.
  • Assist with planning and coordination of company meetings, celebrations, and other special events.
  • Open and close the main office and reception area daily.
  • Assist with special projects and perform other duties as assigned

Managerial Responsibility

  • This position does not have direct reports.

Travel/Shift Requirements

  • This position does not require travel.

Physical Demands

  • The position requires frequent sitting and keyboarding.
  • This position is expected to occasionally lift up to 20 pounds.

Education and Experience Required

  • High school diploma required.  Associates degree in HR, Marketing, or Communications preferred. 
  • 2 or more years of reception or administrative assistance experience required.
