Position Description
Redhorse Corporation has an opening for an Executive Administrative Assistant on a task with the Office of Energy Efficiency and Renewable Energy (EERE). The Executive Administrative Assistant will perform a variety of administrative functions to support the operations and specialized administrative support tasks of a non-routine and non-repetitive nature.
Position Requirements include but are not limited to:
  • Coordinating administrative work within the secretarial and clerical support group.
  • Managing multiple calendars and meeting rooms on Outlook
  • Drafting and tracking correspondence.
  • Extensive use of Microsoft Office 365 including:
    • Excel: including creating, formatting, editing, tracking, etc.
    • Word: including creating tables, write-protect information, formatting, editing, converting a document from PDF into Word, mail merge for small and large projects, etc.
    • PowerPoint: development and editing
    • Outlook: management of multiple calendars and mailboxes and responding to issues
  • Performing timekeeping for federal employees.
  • Assisting with meeting setup, including webinars and video conferences.
  • Preparing reports and making recommendations for actions.
  • Creating complex travel arrangements and vouchers as backup for travel desk in Concur.
  • Performing project management duties, event planning, and, as assigned, other duties.
  • Must have expertise in preparing various reports, making recommendations for actions.
  • Ability to perform project management duties, event planning, office relocation planning and other duties as assigned
  • Assist managers with assembly of briefing materials and presentations.
  • Prepare travel authorizations and vouchers using the travel database. Process foreign national visitors’ paperwork into the foreign travel database.
  • Assist a Technical Advisory Committee members with travel preparation and process expenses.
  • Assist with the reviewing and editing correspondence, emails and other documents for grammatical errors and content flow.
  • Delegate assignments among the leadership team at the direction of the Director.
  • Maintain detailed schedule of tasks by using a spreadsheet or word document and facilitate their timely completion while adhering to strict deadlines.
  • Monitor emails for priority deadlines and proactively assist with identifying and resolving problems that could impact project goals.
  • Assist with the Council meetings by preparing agendas, taking meeting notes presentations and invitations.
  • Possess the ability to decipher priority emails and briefly update the Director during time constraints. Prepare responses to emails and ensure confidentiality with sensitive information and documents.
  • Monitoring projects and/or finances for members of assigned functional unite.
  • Performing professional level tasks both formal and informal requiring independent judgement, initiative, and tact.
Requirements for Experience, Skills, Education and Credentials include:
  • Bachelor’s degree from an accredited institution
  • 10 years of experience
  • Strong experience in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to write clear, concise, and grammatically correct communications.
  • Experience in project coordination.
  • Professional attitude, teaming skills, and strong communication skills.
  • Exceptional attention to detail.
  • Ability to follow directions without error.
  • Excellent customer service.
  • Self-motivated, pro-active, and able to multitask with little to no supervision or prompting.
  • Ability to competently deal with frequently changing requirements.
Executive Order Requirement:
