POSITION DESCRIPTION

Front Desk Receptionist

Reports To: Sr. Executive Assistant CEO's Office

Schedule: Monday – Friday, 8:30am – 5:30pm

Range: $20 - $25/hour


Position Overview

Cityview is seeking a dependable, detail-oriented Front Desk Receptionist to join our admin team. This role serves as the first point of contact for guests and plays a key role in maintaining an organized, welcoming, and well-supported office environment.


Essential Duties and Responsibilities include but are not limited to the following:

  • Maintain the appearance and organization of the office, ensuring supplies and technology are readily available and working
  • Greet, check in, and provide general support for guests; complete building access forms
  • Provide parking validations as needed; notify admin team when validations are running low
  • Answer and transfer incoming calls; take and forward messages and voicemails
  • Manage the front desk inbox; forward, sort and file emails incoming and older emails
  • Collect outgoing mail and pick up incoming mail
  • Sort and distribute mail throughout the office
  • Create and print FedEx shipping labels, as needed
  • Assist with new hire onboarding logistics — building access cards, monthly parking
  • Coordinate vendor check pickups and drop offs within the building
  • Maintain coffee and Nespresso machines — empty drip trays and pod trays, refill water tanks as needed
  • Tidy and restock café/kitchen after lunch — snacks, fridge items, napkins, sodas, and countertop wipe-downs
  • Refill printer paper in copy room
  • Maintain conference rooms after meetings:
  • Straighten chairs and clean whiteboards
  • Raise window shades and place microphones on chargers
  • Update iPads as needed
  • Set up rooms in advance of scheduled meetings
  • Input info into Concur and prepare expense reports for approval by admin team
  • Gather vendor quotes and conduct research as requested
  • Run occasional administrative errands within the building
  • Complete supply inventory checklist for the copy room and kitchen weekly and bi-weekly
  • Monitor filter schedule and replace filters (Ion water machine, fridge, air purifier)
  • Assist coordinating building repairs and requests
  • Scan and organize archived files as directed
  • Assist various departments with administrative tasks and special projects, as needed, with prior approval by manager


Qualifications

  • Friendly, professional demeanor with strong communication and interpersonal skills
  • Ability to multitask and manage time effectively in a fast-paced office environment
  • Proficiency with basic office technology — Microsoft Office Suite, printing, FedEx portal, Claude - and similar tools
  • Prior front desk, receptionist, or administrative experience preferred
  • Dependable, detail-oriented, and proactive
  • No task “too small or big” approach
  • Ability to successfully manage tasks independently and manage expectations


Physical Requirements and Working Conditions

  • This is an in-office position and will require sitting for long periods at a time.
  • Occasional lifting, carrying, pushing, and pulling of materials and objects up to 20 pounds or heavier, with assistance and/or the use of proper equipment.
