Job description

A leading international financial services organization is seeking a Bilingual Global Mobility Specialist (Japanese-English) to join its Human Resources team in New York. This role is responsible for supporting global mobility and international assignment programs for U.S. and overseas operations. The successful candidate will serve as a key liaison among HR teams, business managers, assignees, and external service providers. The position requires a strong understanding of global mobility practices, payroll administration, HR operations, accounting processes, and cross-border employee support. This role offers an opportunity to contribute to a dynamic international environment while supporting employees throughout the lifecycle of global assignments.
Key Responsibilities
Global Mobility & Assignment Administration

  • Administer the full lifecycle of international assignments, including relocation, immigration, onboarding, payroll, benefits, and tax-related processes.
  • Coordinate employee relocations and provide support to international assignees and their families.
  • Maintain accurate records related to assignment status, immigration documentation, lease agreements, dependent information, and other mobility-related data.
  • Serve as a key point of contact for employees, managers, HR teams, and external vendors regarding mobility matters.
Payroll, Tax & Financial Administration
  • Manage end-to-end payroll processes for international assignees, including regular compensation, allowances, reimbursements, gross-up calculations, and shadow payroll activities.
  • Partner with external payroll and tax service providers to ensure compliance with applicable tax regulations and year-end reporting requirements.
  • Process journal entries and perform monthly account reconciliations related to expatriate payroll and benefits.
  • Respond to inquiries from finance and accounting teams regarding assignment-related expenses and transactions.
Vendor & Invoice Management
  • Review and process invoices from relocation vendors, tax providers, government agencies, and internal stakeholders.
  • Generate and monitor intercompany invoices and coordinate payment activities with finance teams.
  • Track assignment-related expenses and support financial reporting requirements.
Process Improvement & HR Support
  • Collaborate with HR, Finance, and external partners to improve mobility processes, controls, policies, and documentation.
  • Identify opportunities to enhance operational efficiency and employee experience.
  • Support general HR administration and contribute to special projects and initiatives as assigned.
Qualifications
Required
  • Bachelor's degree.
  • Advanced Japanese and English language proficiency (spoken and written).
  • 5-7 years of experience in Global Mobility, Human Resources, Payroll, International Assignment Administration, or a related field.
  • Experience working with HRIS, payroll systems, accounting processes, and tax-related activities.
  • Strong understanding of international business operations and cross-border employee support.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong organizational skills and attention to detail.
  • Effective communication and stakeholder management skills.
  • Proficiency in Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook.
Preferred
  • Experience supporting international assignees within a multinational or financial services environment.
  • Knowledge of U.S. payroll, expatriate taxation, shadow payroll, and mobility policies.
  • Experience working with external relocation, immigration, payroll, and tax vendors.
  • Familiarity with benefits administration and employee relocation programs.
