Job description

POSITION PURPOSE:

The Office Administrator/Executive Assistant plays a critical role in ensuring the efficient and smooth operation of the office and providing high-level administrative support to the CEO and other Executives. This position requires strong organizational skills, leadership qualities, and the ability to achieve the highest level of productivity and professionalism. This role is responsible for managing office procedures, establishing, and implementing efficient workflow processes, and fostering a positive work environment.

ESSENTIAL FUNCTIONS:

Executive Support

• Manage the CEO's calendar, travel arrangements, expense reporting, and other executive administrative needs.

• Serve as a primary point of contact for the CEO, Executive Team, and key internal and external stakeholders while maintaining strict confidentiality.

• Support executive meetings and company events, including coordinating materials, presentations, travel logistics, and meeting schedules.

• Assist the VP of Global Sales with the coordination of the National Sales Meeting and High Point Market participation.

Office Administration

• Oversee daily office operations, ensuring an organized, efficient, safe, and professional work environment.

• Manage office facilities, vendor relationships, corporate agreements, office supplies, equipment, maintenance, and security.

• Coordinate meeting spaces, incoming communications, mail distribution, and visitor management.

• Identify and implement process improvements and tools that enhance office productivity and operational efficiency.

• Provide administrative support, document preparation, and cross-functional coordination as needed.

Legal & Corporate Governance Support

• Assist with the administration, organization, and maintenance of contracts, legal documents, corporate records, and governance materials.

• Coordinate with internal stakeholders and external legal counsel regarding document execution, legal requests, compliance tracking, and contract administration.

• Maintain confidential legal and corporate records and monitor key deadlines, renewals, and regulatory requirements.

• Support executive leadership with legal research, document preparation, and other administrative legal matters as needed.

Employee Engagement & Events

• Partner with Human Resources to plan and execute employee events, recognition programs, wellness initiatives, charitable activities, and company celebrations.

• Coordinate event logistics, communications, budgets, and participation efforts to foster employee engagement and a positive workplace culture.

Qualifications

• Bachelor's degree in Business Administration, Legal Studies, Paralegal Studies, or a related field preferred; or an equivalent combination of education and experience.

• 3+ years of experience supporting executives in an office administrator, executive assistant, paralegal, or similar role.

• Experience with contract management, corporate records, governance documentation, or legal administration preferred.

• Strong organizational, analytical, and problem-solving skills with the ability to manage multiple priorities.

• Demonstrated ability to handle highly confidential information with discretion and professionalism.

• Proficiency in Microsoft Office Suite and office management software.

• Excellent communication, interpersonal, and relationship-building skills.

• Knowledge of human resources, financial administration, or compliance practices is a plus.
