Job description

Senior Executive Assistant

The Senior Executive Assistant provides high-level administrative and operational support to executive leadership. This role serves as a trusted partner to senior leaders by managing complex schedules, coordinating executive communications, supporting strategic initiatives, and ensuring smooth day-to-day operations. The position requires exceptional judgment, discretion, professionalism, and the ability to manage multiple priorities in a dynamic healthcare environment.

Key Responsibilities

Executive Support

  • Manage complex executive calendars, meetings, and travel arrangements.
  • Prepare correspondence, reports, presentations, and briefing materials.
  • Coordinate follow-up and accountability for leadership action items.
  • Anticipate executive needs and proactively resolve scheduling and operational challenges.

Meeting & Leadership Support

  • Organize leadership meetings, retreats, and executive events.
  • Prepare agendas, presentations, and supporting documentation.
  • Record and distribute meeting minutes and track deliverables.
  • Support patient advisory board, executive council, and senior leadership activities.

Communication & Stakeholder Management

  • Serve as a primary liaison between executive leadership and internal/external stakeholders.
  • Draft and manage executive communications.
  • Handle confidential and sensitive information with the highest level of discretion.
  • Foster effective relationships across clinical, operational, and administrative teams.

Project & Operational Coordination

  • Support strategic initiatives, department priorities, and special projects.
  • Track project milestones, deadlines, and leadership deliverables.
  • Assist with budget-related processes, purchasing, and administrative workflows.
  • Coordinate onboarding and support activities for leaders and team members.
Other Information

Education Requirements: High school diploma or GED required; higher-level degree may satisfy this requirement. Licensure/Certification Requirements: No licensure or certification required. Professional Experience Requirements: Four years of high level administrative/office management experience; preferably in support of a vice-president or president of an organization. Knowledge/Skills/and Abilities Requirements: Microsoft products: Outlook, Word, Power Point, communication and computer skills, time management, technical skills, calendar management, and meeting planning
