Why This Role, Why Now

Behind every effective advocate, communicator, and strategist is someone who makes sure the work actually happens. The Executive Assistant at EnviroVoters is that person, a trusted operational partner who manages complexity, protects time, and keeps senior leaders focused on what moves bold climate and justice work forward. If you thrive in fast-paced environments, exercise real judgment, and find deep satisfaction in being the person who makes everything run, we want to hear from you.

What Makes This Role Distinctive
  • Four-day work week for most of the year, with five-day weeks during peak periods such as legislative session
  • Direct partnership with three senior leaders shaping EnviroVoters' policy, communications, and organizing strategy
  • A front-row seat to the intersection of climate advocacy, political strategy, and public communications
  • Work that matters — the efficiency you create has a direct line to policy wins and electoral impact
  • Comprehensive benefits package, including health, vision, and dental coverage, 401(k) with employer match, 12 days PTO, 12 holidays, a year-end office closure between Christmas and New Year, and additional benefits that support employee well-being and work-life balance.
Position Summary

As a key operational partner on the EnviroVoters team, the Executive Assistant provides comprehensive support to the Chief Strategy Officer, VP of Communications, and State Advocacy Director. This role manages complex calendars, coordinates across multiple offices, supports high-stakes communications workflows, and ensures senior leaders have what they need to operate effectively.

  • Prepare and organize meeting materials, agendas, and briefing documents in advance
  • Take and distribute meeting notes and track action items through to completion
  • Process expense reimbursements and invoices accurately and in accordance with organizational policy

Support communications and advocacy operations

  • Draft, proofread, and format correspondence, talking points, and internal communications on behalf of principals
  • Assist with tracking deadlines for communications deliverables, including newsletters, press releases, and social content calendars
  • Generate reports, review contracts, create presentations, and conduct research as needed

Coordinate across a multi-location organization

  • Support remote and hybrid meeting logistics across Oakland, Sacramento, Los Angeles, and Riverside offices
  • Provide event management support as requested
  • Provide hospitality to guests and help create a welcoming environment

Exercise discretion and sound judgment

  • Handle confidential and sensitive information with care, given regular exposure to personnel matters, legislative strategy, and donor-related discussions
  • Anticipate needs and act with minimal supervision in a fast-paced, evolving environment

  • High level of discretion and sound judgment in handling confidential and sensitive information
  • Strong organizational skills and close attention to detail
  • Ability to work independently, anticipate needs, and exercise good judgment with minimal supervision
  • Comfort working in a fast-paced environment with evolving priorities, particularly during legislative session
