Summary of Job Duties:
The Executive Assistant II provides executive-level administrative and operational support to the Department of Pediatrics Chair, Associate Dean for Child Health, Arkansas Children's Pediatrician-in-Chief, Assistant Dean for Child Health Administration, and other departmental leaders.
This position manages complex calendars and travel, coordinates meetings and special events, processes purchases, supports office operations, and prepares executive correspondence and materials. The Executive Assistant II serves as a key liaison among UAMS and Arkansas Children's leadership, faculty, staff, visitors, vendors, and external stakeholders. The position requires professionalism, discretion, sound judgment, and the ability to manage confidential information and multiple priorities.
Qualifications:
  • Bachelor's degree in business, public relations, or related PLUS three (3) years experience working in a high level administrative role for an executive or in a academic medical setting OR High school diploma and seven (7) years of experience in a high level administrative role, including calendar management.
  • Intermediate working knowledge of Microsoft Office

Responsibilities
  • Manage executive calendars, meetings, and travel arrangements.
  • Coordinate in-person, virtual, and hybrid meetings.
  • Prepare meeting agendas, materials, and logistics.
  • Plan departmental meetings, retreats, and special events.
  • Coordinate event locations, catering, technology, vendors, and guest support.
  • Process purchases, invoices, travel reimbursements, and other expenses.
  • Maintain office supplies and coordinate equipment or maintenance requests.
  • Prepare correspondence, reports, presentations, and other documents.
  • Answer calls, greet visitors, and respond to routine questions.
  • Maintain departmental files and records.
  • Coordinate special projects and track deadlines and deliverables.
  • Provide administrative support to departmental leadership.
  • Perform other duties as assigned.
