Job description

NVI, LLC is seeking a highly organized, proactive, and professional Executive Assistant to join our team. This full-time position provides direct administrative and operational support to the Chief Executive Officer while serving as a trusted partner to the executive leadership team. The Executive Assistant will be responsible for managing complex schedules, coordinating meetings and executive communications, preparing reports and presentations, supporting strategic initiatives and special projects, and ensuring the day-to-day operations of the executive office run efficiently and effectively.

Roles & Responsibilities

Executive Support

  • Manage the CEO's calendar, meetings, and daily schedule.
  • Coordinate travel arrangements, lodging, and itineraries as directed
  • Prepare materials needed for meetings and appointments.
  • Assist with correspondence and other administrative support as needed.

Meeting Coordination

  • Schedule executive leadership meetings and other company meetings.
  • Prepare agendas and distribute meeting materials.
  • Attend meetings as requested to capture meeting notes and action items.
  • Coordinate recurring meetings and assist with meeting logistics.

Presentations & Reports

  • Create, edit, and format PowerPoint presentations for executive meetings.
  • Prepare reports, spreadsheets, and supporting documents.
  • Ensure presentations and materials are professional, accurate, and consistent with company standards.
  • Gather information to support executive reporting.

Project Coordination

  • Assist the CEO with special projects and company initiatives.
  • Track project milestones and follow up on outstanding items.
  • Coordinate with leaders to keep projects moving forward.

Executive Leadership Support

  • Serve as a point of contact between the CEO and members of the Executive Leadership Team.
  • Coordinate executive meetings, planning sessions, and company events.
  • Assist executive leaders with preparing reports, presentations, and other materials for meetings, customer presentations, and strategic initiatives.
  • Assist with other projects and responsibilities as assigned

Required Qualifications

  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Advanced proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
  • Ability to manage multiple priorities while maintaining a high level of accuracy.
  • Ability to handle confidential information with discretion.
  • Strong attention to detail and the ability to work independently.
