Executive Administrative Assistant – IT Operations & Procurement

Location: Mobile, AL (Hybrid – In Office/Remote)

Job Summary

We are seeking a highly organized, proactive, and discreet Executive Administrative Assistant to support senior IT leadership while coordinating key operational workflows across telecommunications, procurement, and acquisition integration. This role serves as a central liaison between executives, IT teams, Finance, Procurement, and external vendors. The position supports carrier management, procurement coordination, financial reconciliation, and acquisition execution to ensure operational efficiency and audit readiness.

Key Responsibilities

Executive Support & Administration: Manage executive calendars, coordinate travel for executives and IT teams, draft communications, organize meetings, and handle sensitive information.

Telecom & Carrier Management: Manage carrier accounts, perform cleanup, validate billing, and maintain telecom inventory.

Acquisition Support & Service Transfer: Coordinate telecom and IT service transitions and ensure continuity during go-live.

Go-Live Surveys & Ticket Coordination: Administer surveys, create tickets, assign ownership, and track issue resolution.

Procurement & Special Projects: Coordinate procurement for telecom and IT equipment, support bulk purchasing, and assist with licensing tracking.

Reconciliation & Finance Support: Reconcile invoices, validate cost allocations, and liaise with Finance and Procurement.

Skills & Qualifications

3–5+ years of relevant experience. Strong organizational skills, attention to detail, and ability to manage multiple priorities. Ability to resolve issues timely, strong at documentation. Excellent Communication skills.
