Job description

Job Title

Provides administrative and secretarial support to IT Executive Management IT Directors, often involving issues of a sensitive and confidential nature at the corporate level. Also provides support to global business colleagues and visitors as needed.

Responsibilities

Ensures accuracy, and often confidentiality in responding to complex and sensitive issues on behalf of Executives in a timely manner, and with a professional demeanor.

Conserves Executive's time by reading, researching, and routing correspondence, collecting, analyzing information; and initiating telecommunications.

Maintains Executives business calendar and corporate expenses by planning and scheduling meetings, conferences, and teleconferences.

Coordinates travel arrangements and itineraries for Executive and visitors and manages timely expense reimbursement.

Ensures that department-related tasks are coordinated by serving as point person, information source and/or project administrator.

Performs all administrative functions in accordance with company procedures and regulations (material requests, administering conference & function bookings, etc.)

If needed, produces information by transcribing, formatting, inputting, editing, retrieving, copying, etc. Prepares reports as needed.

Qualifications/Education

Associate's Degree (accredited school) or equivalent work experience with emphasis in:

  • Business Administration
  • Business Management
  • Communications
  • International Relations/Business

Must have 3 years of experience in the following:

  • Administration – Comprehensive knowledge of administrative procedures, process/project development, and system procedures.
  • Event Planning – General knowledge of planning events from inception to implementation, including budget preparations.
Skills & Abilities
  • Excellent MS Office knowledge
  • Outstanding organizational and time management skills; ability to not just react to, but anticipate needs
  • Familiarity with office gadgets and applications
  • Excellent verbal and written communications skills
  • Discretion, tact and confidentiality due to the frequency of high-level internal and external contacts
  • Willingness to support the success of the broader department
  • Project management skills preferred

The fully trained individual must develop and maintain comprehensive knowledge of:

  • Client USA Policies & Procedures
  • Client USA Mission, Goals & Vision
  • Departmental practices/procedures and how they apply to customers
  • Interdepartmental relationships and their effect on company, departmental and individual goals
  • Software that is applicable to the job
  • Responsibility to prioritize based upon Executive needs and uses judgement in matters affecting Executive's schedule.
