About This Role

Compass Academy is looking for a part-time Admin/Assistant responsible for the overall preschool management and assisting the director in daily operations.


What You'll Do

Welcoming and assisting visitors and parents, responding to phone calls, and providing administrative support to the school Director. This position responds to general inquiries by providing school policies and procedures information. Must be able to multitask and have a passion for children. Must be able to help give lunch breaks to staff. Must be able to help train staff. Prepare school documents. Answers the telephone in a friendly, courteous, and tactful manner, attends to letters and/or visitors, and identifies and provides solutions to routine business matters requiring minimal direction from the director.

Maintains the school website calendar, including official business, meetings, conferences, and other events. Managing and creating Social media posts on different platforms. Prepares, types, and processes correspondence and other documents to ensure accuracy, completeness, and timeliness using Google Drive, Excel, or Microsoft Office. Responds to requests and correspondence as directed by the supervisor. Creates, maintains, and manipulates data (e.g., forms, spreadsheets, databases, graphics, etc.) to gather information and generate reports. Receives, sorts, and distributes students' supplies and deliveries accurately and timely. Collects and prepares outgoing mail. Communicate with the parents on time on our school apps.

Maintains school contact lists of all school personnel and all related classroom. Updates and maintains general parent and student information and forms as directed, assist in arranging school field trips, including booking events, scheduling transportation, and collecting payment and permission forms from parents or guardians. Maintains school-shared spaces such as open cafeterias and classrooms, ensuring proper supplies are available and set up as required/requested.

Monitors facility requests from school staff and arranges follow-up action needed (e.g., repairs, climate control, classroom furniture, equipment requests, etc.) Communicates daily janitorial needs to custodial staff as needed. Provide on annual training to the staff and new staff hire training.


Requirements

Must be at least 18 years of age.

  • Participates in an orientation program
  • Completes the appropriate number of in-service hours each year.
  • Attends staff meetings, training sessions, or other events, such as Family Night and the Christmas Program, as required.
  • Maintains a neat and clean physical appearance.
  • Can move quickly enough to supervise children safely.
  • Can lift and carry children (maximum of 40 pounds).
  • Can provide an appropriate speech model while interacting with both children and parents.
  • Must adhere to the center's Behavior Guidance policies at all times.
