A DAY IN THE LIFE AS THE EVENTS ASSISTANT
As the Events Assistant, you will support the Director and department in administrative duties. This role is the backbone of ensuring the Director and the Department run smoothly and efficiently. Responsibilities include managing private event billing, creating Banquet Event Orders (BEOs), managing closet organization and inventory, invoice and credit card reconciliation, maintaining club event calendar, receiving and answering phone calls, and working with internal departments including Accounting, Culinary, Food & Beverage, and Communications. The Events Assistant will also assist in activity oversite for certain children's events including Easter Egg Hunts, Santa Parties, and Fashion Show. This is an administrative role that relies heavily on details and organization. This is a great stepping stone for anyone interested in learning Events and the Private Club Industry.
ADDITIONAL RESPONSIBILITIES, ESSENTIAL DUTIES & EXPECTATIONS
  • Update, maintain, and shred Banquet Event Orders (BEOs)
  • Manage and distribute the daily BEO changes and weekly function packet
  • Attend weekly event team meetings and weekly BEO meetings with cross-functional teams
  • Book room reservations and manage cake orders
  • Manage billing for all private events
  • Maintain outlook event calendar and shared drive folders
  • Liaise with the Communications department to manage the department's Social Media calendar
  • Maintain Event supplies and keep closets clean and organized
  • Assist with event preparation as needed by the Director
  • Work events as needed by the Director
  • Provide other administrative support as necessary

QUALIFICATIONS (Experience, Competencies, Skills, Abilities, Education):
  • Extremely detail-oriented and organized
  • Effective communicator and strong in developing relationships
  • Excellent skills in prioritizing tasks, and time-management
  • Ability to work in a high paced, dynamic environment and work with a high sense of urgency
  • Ability to learn, comprehend, and effectively use software systems (ex. NorthStar, Social Tables)
  • Ability to multi-task, switch from task to task, and perform overlapping duties without making errors or missing details
  • Project management skills and demonstrated flexibility
  • Ability to work effectively independently and as part of a team
  • Ability to interact with members and all levels of staff in a courteous and friendly manner
  • Bachelor's degree preferred
  • Must have an interest in events and can-do attitude!
  • Predominantly a Monday - Friday position, with some later nights and weekends
