Job description

Event Sales & Client Relations

  • Serve as the main client contact for event inquiries, tours, contracts, and ongoing communication.
  • Respond promptly to event leads via phone, email, and in person.
  • Conduct site tours and present event packages, menus, and customization options.
  • Prepare and manage event contracts, deposits, invoices, and final billing.
  • Upsell menu items, beverage packages, audiovisual needs, dรฉcor, and enhancements.

Event Planning & Coordination

  • Plan and coordinate all aspects of private events, including timelines, room setup, menus, staffing, and special requests.
  • Collaborate with culinary, bar, and operations teams to ensure successful execution.
  • Create detailed event order forms (BEOs) and distribute them to all relevant departments.
  • Confirm event details with clients prior to event dates and manage last-minute changes.
  • Coordinate with external vendors when applicable (Dรฉcor, DJ, Photographer etc)

On-Site Event Execution

  • Serve as on-site event lead during events, ensuring smooth flow and adherence to timelines.
  • Oversee setup, guest arrival, service flow, transitions, and breakdown.
  • Act as the primary problem solver during events to address client or operational concerns.
  • Ensure all staff are briefed and prepared to deliver excellent service.

Administrative & Operational Duties

  • Maintain accurate event calendars, client records, and documentation.
  • Track event revenue, deposits, and payments.
