Summary 

We are looking for an Event Program Coordinator to support the planning and execution of a large-scale portfolio of third-party events across North America. 


The ideal candidate is highly organized, detail-oriented and self-driven. This role supports multiple events simultaneously within a strategic enterprise event program and plays a critical role in keeping projects on track, documentation organized and stakeholders aligned. 


The Event Program Coordinator partners closely with Event Managers and specialized teams including content, staffing, technology, data, exhibits and production to ensure approved plans are executed accurately and efficiently throughout the event lifecycle. 


The work spans the event lifecycle, from early planning and documentation through onsite execution and post-event closeout. The broader client scope includes event timelines, budgets, workback schedules, event briefs, vendor coordination, registration logistics, onsite planning, lead capture, post-event reporting and asset management. 


You’ll spend your days on the following

  • Support Account Managers across a portfolio of third-party events, shifting between programs based on deadlines, complexity and team capacity.  
  • Maintain event schedules, workback plans, task lists, status trackers and planning documentation.  
  • Schedule client, internal, vendor and partner meetings; prepare agendas; capture notes, decisions and action items; and distribute concise recaps.  
  • Keep event information current across approved project-management, communication and document-sharing systems.  
  • Help create, organize and quality-check event briefs, staffing documents, registration materials, onsite schedules, Know Before You Go guides and post-event documentation.  
  • Monitor event milestones, asset deadlines, approvals and dependencies, and proactively flag missing information or schedule risks to the Account Managers.  
  • Coordinate logistics with approved conference organizers, venues, show-service providers, exhibit partners, merchandise vendors and other external partners.  
  • Support ordering, tracking and delivery of booth materials, signage, promotional items, supplies and event assets.  
  • Assist with registration logistics, attendee lists, badge assignments, staffing schedules, meeting calendars and onsite access requirements.  
  • Support vendor quote collection, comparison documentation, purchase records, invoice backup and budget-tracking administration as directed by the Account Manager.  
  • Assist with lead-capture readiness, device or access coordination, data quality checks and post-event lead-processing documentation in partnership with designated technology and data owners.  
  • Maintain organized files, naming conventions, version control and complete documentation so information can be reused across events.  
  • Support onsite event execution, as needed, including setup, registration, staff coordination, materials management, schedule monitoring, issue tracking and teardown.  
  • Capture onsite observations, customer feedback, open issues and lessons learned for inclusion in event recaps and retrospectives.  
  • Support post-event closeout, including documentation collection, shipment or inventory follow-up, budget reconciliation support, reporting inputs and action-item tracking.  
  • Work within established roles, approval paths and escalation procedures, bringing decisions outside assigned authority to the Account Manager.  
  • Contribute to continuous improvement by identifying repeatable tasks, templates and process efficiencies that can strengthen execution across the broader event portfolio.  
  • Represent Augeo Experience professionally with client stakeholders, partners, vendors and event attendees. 

What you need to be successful in this role

  • Bachelor’s degree or equivalent relevant experience.  
  • Experience in event planning, account coordination, project coordination, marketing, trade shows or a related field is preferred.  
  • Demonstrated ability to manage multiple concurrent assignments and reprioritize as deadlines change.  
  • Exceptional organization, follow-through and attention to detail.  
  • Strong written communication skills with the ability to produce clear notes, recaps, task updates and status documentation.  
  • Professional verbal communication and a high level of client and customer service.  
  • Proactive working style with the judgment to surface risks, missing inputs and conflicting deadlines early.  
  • Comfort taking direction from multiple Account Managers and collaborating with specialized internal and external partners.  
  • Resourcefulness and willingness to learn new systems, terminology and workflows.  
  • Ability to work successfully in a written-first environment where briefs, documented decisions and precise follow-up are central to execution.  
  • Confidence using Microsoft Word, Excel, PowerPoint, Outlook, and OneDrive and collaborative project-management (e.g. Asana, Workfront, Monday.com) or file-sharing platforms (e.g. One Drive, SharePoint, Box).  
  • Ability to maintain accuracy when working with attendee data, event details, budgets, vendors, assets and reporting inputs.  
  • Flexibility, adaptability and a calm, solutions-oriented approach during onsite execution.  
  • Willingness to travel and work extended hours during assigned event periods, with the final travel expectation to be defined for the position.  

Location 

Candidates must be based in one of the following states: California, Colorado, Florida, Georgia, Illinois, Kansas, Minnesota, Missouri, Nebraska, New York, Ohio, Oklahoma, South Carolina, Texas, Wisconsin. Candidates local to an Augeo office are expected to work a hybrid schedule. Candidates outside commuting distance of an Augeo office may work remotely.
