POSITION SUMMARY

The Associate Director, Event Planning is a hands-on event leader responsible for the strategic planning, execution, and continuous improvement of key events supporting the Mirum portfolio. This includes internal events such as the National Meeting, Mid-Year Meeting, Launch Meetings, and Circle of Excellence Awards Program, as well as external events including priority Tier 1 and Tier 2 Congresses, Advisory Boards, exhibit booths, executive dinners, and ancillary meetings.

This is a leadership role that combines direct ownership and execution of complex events with responsibility for advancing event planning standards, processes, technology, and best practices.  The role partners closely with Commercial, Medical, Operations, Marketing, Advocacy, Grants, Global, and other cross-functional teams to deliver effective, compliant, and consistent event experiences aligned with Commercial Strategy and Mirum's values.

JOB FUNCTIONS/RESPONSIBILITIES

Event Leadership & Execution

  • Own and lead the end-to-end planning and execution of assigned Commercial Events, developing project plans, timelines, action plans, communication strategies, and deliverables to ensure successful execution.
  • Partner with Commercial and Medical business leads to align event strategy and execution with brand and business plans.
  • Lead planning for priority Tier 1 and Tier 2 Congresses, including housing, registration, exhibit and meeting space, ancillary meetings, sponsorships, advertising opportunities, related technologies, medical education activities, pre-event planning, and onsite execution.
  • Provide hands-on logistics support for internal and smaller Commercial Events, including department offsites, HQ events, and business meetings that do not require dedicated vendor support.
  • Provide onsite leadership for assigned events, including pre-event setup and real-time issue resolution; weekend support may be required.

Cross-Functional & Vendor Leadership

  • Facilitate cross-functional planning meetings and ensure stakeholders and external partners are aligned on objectives, responsibilities, timelines, and deliverables.
  • Build and maintain effective relationships with external logistics and event vendors and oversee their delivery against agreed-upon scope, timelines, and expectations.
  • Provide clear, proactive communication to internal stakeholders and external partners throughout the event lifecycle.

Congress & Portfolio Planning

  • Partner with cross-functional stakeholders to evaluate and prioritize the congress calendar, ensuring Mirum is appropriately represented across priority specialty areas in rare disease.
  • Serve as the business owner for the commercial field exhibits and sponsorships process, including standards, governance, execution, reporting, and continuous improvement.

Budget, Contract & Compliance Management

  • Manage event budgets and financial processes, including vendor estimates, SOWs and contracts, purchase orders, invoice approvals, reconciliation, and cross-charges.
  • Partner with Legal, Compliance, Finance, Procurement, and Commercial Contracting to ensure contracts, payments, and event activities are completed accurately and on time.
  • Ensure assigned events comply with applicable HCP, legal, regulatory, and company requirements.

Event Effectiveness & Continuous Improvement

  • Evaluate commercial event effectiveness and identify opportunities to improve efficiency, consistency, stakeholder experience, and overall event impact.
  • Develop and implement innovative solutions, technologies, policies, processes, and best practices that simplify and improve event planning and execution.
  • Produce pre-event communications and post-event reporting, including key metrics, surveys, debriefs, and budget reconciliation.

Travel

  • Travel up to 50%, primarily domestically with some international travel. Travel includes pre-event setup, onsite event execution, and issue resolution and may include occasional weekend responsibilities.

QUALIFICATIONS

  • 7+ years of Event planning experience, including significant experience in the Biotech/Pharmaceutical industry or a corporate agency supporting biopharma clients, with demonstrated experience leading complex internal events and major congresses.
  • Prior people-management experience leading, coaching, and developing event planning professionals, with demonstrated ability to set priorities, delegate effectively, provide performance feedback, and build a high-performing team, strongly preferred.
  • Demonstrated experience managing the logistics and execution of major events in the U.S. and internationally.
  • Biopharma/Pharmaceutical commercial event experience, with a strong understanding of the healthcare and convention environment.
  • Strong strategic thinking, project management, communication, negotiation, and stakeholder-management skills, with the ability to lead and influence cross-functional teams in a highly matrixed environment.
  • Proven ability to manage multiple complex events, projects, timelines, and budgets simultaneously while maintaining strong attention to detail and execution quality.
  • Results-oriented and solutions-focused, with demonstrated ability to identify industry trends, simplify processes, improve efficiency, and introduce innovative ways of working.
  • Strong relationship-building skills and ability to establish and maintain productive partnerships with internal stakeholders, external vendors, and industry partners.
  • Ability to understand the broader business context and connect event strategy and execution to commercial priorities and stakeholder needs.
  • Proficiency with Microsoft Office, Cvent, and Smartsheet; demonstrated interest in leveraging technology and digital tools to improve event planning efficiency, transparency, and stakeholder experience.

Education/Experience:

  • Bachelor's degree required
  • Certified Trade Show Marketer (CTSM) certification or Certified Meeting Professional (CMP) is a plus

The salary range for this position is $195,000 to $210,000 USD. Compensation will be determined based on several factors including, but not limited to; skill set, years of experience, and the employee's geographic location. Please note that the required compensation details listed in US role postings reflect the base salary only, and do not include bonus, equity, or benefits unless otherwise provided.
