POSITION SUMMARY:

This is an exciting time to be joining and building your career at the Foundations of HSN as the Events Assistant, as we have recently seen exceptional momentum and growth. A newly created strategic plan that is rooted in collaboration, growth, and impact has helped guide the organization in a direction that will support enhancing critical care and research throughout HSN. Our plans are ambitious because the health needs of the communities HSN serves are significant.

Reporting to the Manager of Community Engagement and Event Fundraising, the Events Assistant will play a pivotal role in assisting with the planning and execution of the Foundation's signature events and third-party events initiatives. This includes working collaboratively with various Foundation team members to build strong relationships to ensure a successful outcome of all activities.

RESPONSIBILITIES:

  • Assist with the planning and execution of signature events hosted by the Foundations at HSN, including but not limited to; An Enchanted Evening, Smile Cookie Week, Palladino Auto Group Golf Classic, Luncheon of Hope, etc.
  • Assist with researching and identifying potential sponsors and donors, and help maintain prospect databases for fundraising and event initiatives.
  • Support sponsorship activities for signature events, including sponsor outreach, relationship-building, and tracking sponsorship commitments to help achieve event revenue goals.
  • Liaise with Volunteer Services and recruit and manage volunteers for signature events and maintain a detailed database of event volunteers.
  • Act as a key contact for event volunteers and provide direct oversight of their activities at events.
  • Assist with developing, coordinating, and distributing marketing materials to assist with event promotion and at the event.
  • Assist with soliciting donations for auction items and prizes to enhance fundraising at events.
  • Provide exceptional customer service and build positive relationships with event attendees, sponsors, volunteers, donors, etc.
  • Assist with participant and sponsor thank you letters, cards or reports.
  • Other duties as required to support the Foundations at Health Sciences North staff.

OTHER DUTIES AS REQUIRED

  • Due to the nature of this role, some evening and weekend work will be required.

EDUCATION AND TRAINING:

  • Diploma/degree in public relations, communications, marketing, event planning or related field of study, or an equivalent combination of education and experience is required.

KNOWLEDGE/SKILLS/ABILITIES:

  • Excellent verbal and written communication skills;
  • General knowledge of industry standards and best practices, and practical experience in event planning.
  • Skills in graphic design, photography, and videography;
  • Proven creative and strategic thinking;
  • Ability to multitask and work on multiple projects while delivering on schedule;
  • Ability to operate with a high degree of professionalism and be skilled at maintaining composure under pressure;
  • Ability to lead by example and achieve the desired results by supporting others;
  • Ability to outline and meet or exceed goals;
  • Valid driver's license and daily access to a reliable vehicle;
  • Bilingualism is a definite asset;

WORKING CONDITIONS:
Standard work week of 37.5 hours, but evening, weekends, and overtime hours may be required.

*This role is required to work from an office at Health Sciences North.
