Job description

We are looking for an Estates Paralegal to support a busy legal practice in New Jersey, with a focus on estate planning, probate matters, trust administration, and related litigation. This role is well suited to a highly organized, detail-oriented individual who can manage detailed legal documentation, coordinate case activity, and work closely with attorneys and clients in a fast-paced environment. The ideal candidate brings practical experience in trusts and estates work, strong communication skills, and the ability to maintain accuracy across a substantial workload.
Responsibilities:
• Prepare and revise legal documents for estate-related matters, including pleadings, motions, discovery materials, wills, trusts, powers of attorney, and advance directive documents.
• Support attorneys throughout probate proceedings by assembling filings, submitting court paperwork, and helping move matters forward with appropriate agencies and court staff.
• Assist with trust and estate administration by organizing information on assets, tracking deadlines, and coordinating documentation needed for distributions and case progress.
• Maintain orderly physical and electronic case records so that documents are properly stored, easy to retrieve, and consistently updated.
• Compile meeting materials for attorneys and clients, including supporting documents, summaries, and other relevant information needed for productive discussions.
• Monitor multiple matters at once while keeping deadlines, document accuracy, and case status updates under close attention.
• Communicate effectively with clients, attorneys, and external contacts to gather information, provide updates, and support ongoing legal work.• At least 3 years of hands-on experience in estate planning, probate, estate administration, or related litigation work within a legal setting.
• Strong working knowledge of trusts and estates procedures, including document preparation and court-related processes.
• Ability to draft, review, and manage detailed legal paperwork with a high degree of accuracy and organization.
• Clear written and verbal communication skills, with the ability to interact professionally with clients and colleagues.
• Proficiency with Microsoft Office and legal case management or document management software.
• Capacity to work independently while also collaborating effectively with attorneys and other team members.
• Paralegal certification is welcomed, though substantial practical experience in this area of law is considered most important.
