Their duties typically include supervising staff, managing budgets, coordinating maintenance and repairs, organizing events, and ensuring the security of the property. Estate Managers also handle vendor relationships and may assist with household administration or personal requests from the property owners. Their main goal is to ensure the smooth and efficient running of the estate.

What does an estate manager do?

As an estate manager, your job is to provide management of a household for its owner. This includes overseeing all other staff, ensuring the owner's activities remain as private as they desire, and creating a plan to ensure the upkeep of the property. Estate managers often have significant authority to make decisions for the property, including hiring and firing contractors, ordering landscaping, and managing security. Your daily duties vary based on the estate. Some estates have extensive grounds and require more tending, while others have unique buildings, golf courses, vineyards, or even private airports that need supervision. Regardless of the details of the estate, you must be adaptable and responsive to the desires of the owner.

What are the key skills and qualifications needed to thrive as an estate manager, and why are they important?

To thrive as an Estate Manager, you need strong organizational skills, property management expertise, and experience in hospitality or facilities management, often supported by a relevant degree or certification. Familiarity with property management software, budgeting tools, and basic maintenance systems is typically required. Exceptional communication, discretion, and leadership abilities are vital for managing staff and liaising with property owners. These skills ensure smooth estate operations, high standards of service, and the protection of valuable assets.

What are some common challenges estate managers face when overseeing multiple properties, and how can they address them?

Estate Managers often juggle the complexities of managing several properties, each with unique maintenance needs, staff, and budgets. Coordinating schedules, ensuring consistent quality across all locations, and communicating effectively with various vendors and household staff can be challenging. To address these issues, successful Estate Managers use robust organizational tools, delegate tasks appropriately, and foster clear communication channels among teams. Regular site visits and proactive maintenance planning also help prevent issues from escalating.

Job description

Operations Manager (Real Estate)

Location: Virginia Beach, VA
Employment Type: Full-Time

We have a confession...

We're not looking for an administrative assistant.

We're looking for the person who becomes the operational heartbeat of our business.

The person who loves organization, thrives on checklists, notices the details everyone else misses, and enjoys bringing order to chaos.

As our Operations Manager, you'll be the engine behind every successful transaction, every organized system, every happy client, and every smooth closing. While our agents focus on serving buyers and sellers, you'll make sure nothing falls through the cracks.

This isn't a position for someone who waits to be told what to do.

It's for someone who sees what needs to happen and takes ownership.

If you're energized by solving problems, building systems, improving processes, and creating exceptional client experiences, we'd love to meet you.

Compensation:

$70,000+

Responsibilities:Transaction Management
  • Own every transaction from contract to close.

  • Coordinate with lenders, title companies, attorneys, inspectors, vendors, and clients.

  • Track all deadlines, contingencies, and compliance requirements.

  • Ensure every file is complete, accurate, and audit-ready.

  • Anticipate challenges before they become problems.

Operations & Systems
  • Manage and maintain the company's CRM database.

  • Develop and improve systems that increase efficiency.

  • Create organized workflows and operational processes.

  • Monitor key performance metrics and identify opportunities for improvement.

  • Help build scalable systems as the business continues to grow.

Calendar & Project Coordination
  • Manage calendars, appointments, inspections, closings, and meetings.

  • Coordinate schedules between clients, agents, and vendors.

  • Keep projects moving forward and ensure deadlines are met.

Client Experience
  • Deliver an exceptional client experience from contract to close.

  • Communicate proactively with buyers, sellers, and business partners.

  • Ensure every client feels informed, valued, and supported throughout the transaction.

  • Help create a level of service that generates referrals and repeat business.

Administrative Leadership
  • Prepare contracts, documents, and correspondence.

  • Maintain accurate records and transaction files.

  • Assist with reporting, tracking, and business operations.

  • Identify ways to improve efficiency and simplify daily operations.

  • Take ownership of projects and see them through to completion.

Qualifications:

We're looking for someone who naturally demonstrates the following qualities:

Required Qualifications
  • Previous experience in real estate, mortgage, title, escrow, or transaction coordination.

  • Experience managing multiple projects simultaneously.

  • Strong organizational and time management skills.

  • Excellent written and verbal communication skills.

  • Close attention to detail.

  • Ability to work independently and take ownership.

  • Proficiency with Microsoft Office and Google Workspace.

Preferred Qualifications
  • Experience with CRM software.

  • Experience using Dotloop, SkySlope, Follow Up Boss, or similar transaction management software.

  • Knowledge of contracts, compliance, and real estate transactions.

  • Process improvement or operations experience is a plus.

You May Be the Perfect Fit If You...
  • Love organizing chaos.

  • Enjoy creating systems and checklists.

  • Think three steps ahead.

  • Take pride in getting the details right.

  • Solve problems before anyone asks.

  • Prefer ownership over micromanagement.

  • Believe that "good enough" usually isn't.

What Success Looks Like

You'll know you're succeeding when:

  • Every transaction closes on time.

  • Nothing falls through the cracks.

  • Clients consistently receive exceptional service.

  • Our systems improve month after month.

  • Team members know they can count on you.

  • The business runs smoother because you're here.
