Job description

Overview
The German department is seeking a detailed and highly organized Administrative and Events Coordinator to provide comprehensive support in event planning, administration, communications, and website management.
This is a ten-month position with a flexible schedule during peak periods, including occasional evenings and weekends. The role reports to the Manager of Finance and Administration in the German Department.
For full consideration, applicants must submit a fully completed and signed PU Employment Application along with their resume and cover letter by July 3, 2026. Position will remain open until filled.
Responsibilities
  • Provide administrative support to the department and serve as primary point of contact for all department events
  • Plan and coordinate logistics for 25 or more events annually, ranging from small catered lunches to conferences and week-long workshops
  • Arrange travel and prepare detailed itineraries for faculty and visitors
  • In collaboration with the department manager, develop and implement an annual communications plan-including web updates, social media, and print publications
  • Manage the German Department's Drupal CMS website by creating, organizing and publishing content in accordance with established practices
  • Oversee all aspects of annual summer workshops, including planning and implementation, and provide administrative and programmatic support for study abroad initiatives
  • Prepare purchase orders and honoraria for payment, and reconcile related expenses in Prime and Concur

Qualifications
QUALIFICATIONS
• Bachelor's degree or equivalent education and experience
• Advanced proficiency with Drupal, Mailchimp, and Canvas
• Ability to manage social media platforms (e.g., Instagram)
• Advanced skills in Microsoft Office, including word processing, spreadsheets, slide presentations, and forms
• Expertise with Zoom, including scheduling and configuring virtual meetings or webinars
• Excellent writing skills appropriate for an academic environment
• Strong attention to detail and ability to meet deadlines
• Demonstrated problem-solving skills and the ability to work independently, take initiative, interpret manuals and directions, learn new platforms, locate resources, and ask questions as needed
PREFERRED QUALIFICATIONS
• Experience managing and maintaining Drupal CMS, including content administration, site structure, and user permissions
• Advanced knowledge of Microsoft Outlook calendar and email functions
• Prior experience working in a higher education or nonprofit environment
• Experience with University systems, including EMS, Prime, Concur and SharePoint
• Familiarity with the German language
