Job description

Description

The Mundelein Police Department is seeking an entry-level part-time Records Clerk to provide clerical and customer service support within the Records Unit. This civilian position works under the direction of the Records Supervisor and is responsible for maintaining accurate police records, assisting the public, and supporting administrative processes. 


 Essential Job Functions

Reasonable accommodations may be made to enable individuals with disabilities to perform these essential functions. 

  • Maintain and update reports and records within the records management system to ensure accuracy and completeness.
  • File records and documents in an organized and efficient manner.
  • Provide front desk reception services, assisting both in-person visitors and phone callers.
  • Respond to requests for records from the public, law enforcement agencies, the Lake County State's Attorney's Office, local prosecutors, and other governmental entities.
  • Process all aspects of citations and administrative hearings, including data entry, payment processing, fine escalation, and issuance of collection notices.
  • Obtain LEADS certification within six (6) months of hire and maintain proficiency to complete required tasks.
  • Attend assigned training courses to enhance knowledge and skills.
  • Maintain the confidentiality and security of all departmental records and documents.
  • Perform any other duties assigned by supervisory staff that fall within the scope of this position.

Competencies

  • Proficiency with standard office equipment, procedures, and practices.
  • Above-average typing speed and accuracy.
  • Ability to create, maintain, and expunge files, records, and reports in accordance with established procedures.
  • Knowledgeable about records retention, public records laws, and FOIA processes.
  • Ability to work independently, efficiently, and with attention to detail.
  • Strong, professional, and effective communication skills across verbal, written, and electronic channels, including in-person and telephone interactions.
  • Fluency in Spanish, both oral and written, is preferred.
  • Ability to perform assignments with a high degree of accuracy.
  • Willingness and ability to learn and adapt to new processes, software, and departmental procedures.
  • Ability to establish and maintain cooperative working relationships with coworkers and other agencies.

Education and Experience

  • High school diploma or equivalent (GED).
  • Two (2) years of general clerical experience.

Work Environment

Work is primarily performed in an office environment and may involve prolonged periods of sitting and computer use. The position may occasionally require attendance at meetings, training sessions, or community functions at off-site locations.

Employment Status

This is a regular, year-round, part-time position expected to work approximately 20-24 hours per week. This role is classified as hourly and non-exempt.


Salary and Benefits

Starting base hourly wage is $30.27 to $33.37, depending on qualifications.


This role is eligible for forty (40) hours of vacation per year, sixteen (16) hours of float time per year, and an accrual of four (4) hours of sick leave each month. The amount of benefit time granted upon hire will be determined based on Village policy. 


 This position will remain open until filled.
