Who You Are
We are seeking a motivated and professional Property Assistant to join our commercial property management team. This entry-level role serves as the first point of contact for tenants, visitors, and vendors and plays an important role in ensuring smooth day-to-day office and property operations.
This is an excellent opportunity for someone looking to build a long-term career in commercial property management. The position provides hands-on exposure to tenant relations, administrative operations, accounting support, and property management systems, with opportunities for professional growth into more advanced property management roles.
What You'll Do
  • Serve as the first point of contact at the front desk by greeting tenants, visitors, vendors, and guests in a professional and welcoming manner
  • Answer and route incoming phone calls and respond to general inquiries in a timely and professional manner
  • Provide day-to-day customer service support to tenants and property stakeholders
  • Receive, sort, and distribute incoming mail and manage outgoing correspondence
  • Process invoices and support routine administrative accounting tasks using AvidXchange
  • Utilize property management systems such as IMPAK to support daily operational activities
  • Draft, format, and send tenant communications, including memos and office correspondence using Microsoft Word and Excel
  • Maintain organized electronic and physical filing systems for property and office records
  • Support special projects and additional administrative assignments as needed
  • Assist the property management team with overall office operations and evolving business needs

What You Bring
Required Qualifications
  • High school diploma or equivalent required
  • Strong customer service and communication skills, both verbal and written
  • Professional, friendly, and customer-focused demeanor
  • Prior experience in an office administration, receptionist, customer service, or administrative support role preferred
  • Basic understanding of accounting or bookkeeping principles preferred
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and PDF tools
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Willingness to learn new systems, processes, and property management functions
Preferred Qualifications
  • Experience in commercial real estate, property management, or related field
  • Familiarity with property management or accounting systems such as IMPAK, AvidXchange, or similar platforms
  • Exposure to accounts payable, invoice processing, or general bookkeeping functions
