Job Title: Property Management Coordinator - Residential Team

Reports To: Sr. Property Manager

Position Summary

NAI Ohio Equities is seeking a highly organized and customer-focused Property Management Coordinator to support our Residential Association Management Team. This position plays a vital role in ensuring excellent service to condominium and homeowners association residents while assisting Association Managers with administrative operations, communication, and day-to-day coordination.

The ideal candidate thrives in a fast-paced environment, demonstrates exceptional attention to detail, and enjoys building positive relationships with residents, board members, vendors, and team members.

Essential Responsibilities

  • Serve as a primary point of contact for residents and homeowners, responding to inquiries professionally and promptly.
  • Assist Association Managers with resident communications, notices, and correspondence.
  • Coordinate and track work orders, maintenance requests, and vendor follow-up.
  • Update Condo Certs with association financials, insurance, delinquency reports, etc.
  • Maintain accurate owner and resident information within management software systems.
  • Assist with administrative tasks for assigned communities.
  • Coordinate mailings, community announcements, and resident portal communications.
  • Monitor deadlines and follow up on outstanding action items to ensure timely completion.
  • Maintain organized electronic and physical files for assigned associations.
  • Provide support during annual meetings, elections, and special meetings as needed.
  • Work collaboratively with accounting, maintenance, and management teams to deliver exceptional service.
  • Coordinate property management meetings, Lunch & Learns, and special events.
  • Assist with onboarding of new associations.

Qualifications

  • High school diploma or equivalent required; associate's or bachelor's degree preferred.
  • Two or more years of administrative, customer service, or association management experience preferred.
  • Strong written and verbal communication skills.
  • Excellent organizational skills with the ability to prioritize multiple tasks and deadlines.
  • Proficiency in Microsoft Office, including Outlook, Word, and Excel.
  • Experience with property management software such as Yardi, CondoCafe, or similar platforms is preferred.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Positive attitude and commitment to outstanding customer service.

  • This position is primarily in-office and based at our Columbus, Ohio headquarters
  • Occasional attendance at evening board meetings, annual meetings, and special events may be required
