Project Administrator - Mission Critical

Hamlet, NC Area

Position Summary

We are seeking a motivated and detail-oriented Project Administrator to join our Mission Critical Division!
This entry-level role provides energetic, proactive, and innovative support to our Project Management, Pre-Construction, and Field Operations teams. You'll help keep projects organized and running smoothly through strong communication, coordination, and follow-through.

Key Responsibilities

Project Management

  • Support project managers by reviewing proposals and plans to help define objectives.
  • Organize and maintain project documentation in PM software (Procore, ACC, etc...) to ensure accurate, up-to-date files and easy team access.
  • Communicate daily operations and upcoming plans with the project team.
  • Prepare and issue Purchase Orders as directed.
  • Attend meetings with project stakeholders and distribute organized meeting notes as needed.
  • Maintain strong communication with the team and support client satisfaction efforts.
  • Ensure all team members have appropriate PM software access.
  • Support the Project Management team with day-to-day needs.

Pre-Construction

  • Support the pre-construction team with estimating, budgeting, and project setup tasks.
  • Help set up jobs for accounting and project tracking.

Field Operations

  • Ensure field personnel time is entered accurately and weekly hours reports are created based on crew and current crew size.
  • Monitor Paid Time Off and subcontracted labor records.
  • Assist in facilitating onboarding for on-site employees.
  • Maintain daily inventory and ensure the job site's administrative office is well-stocked and organized with necessary supplies.
  • Work with the Safety team to send documentation to the GC in a timely manner.
  • Assist QA/QC with documentation and identification needs (labels, panel schedules, etc.).
  • Assist in coordinating daily scheduling, materials, and logistics for field operations.
  • Collaborate with HR and Business Development on employee development initiatives.
  • Build strong relationships with field personnel and provide ongoing administrative support.

  • High school diploma required; Associate's or Bachelor's degree preferred in a related field.
  • 1-3 years of experience in the construction industry preferred.
  • Experience in electrical or healthcare construction a plus.
  • Proficient in Microsoft Office (especially Outlook and Excel).
  • Experience with Box, Procore, and Bluebeam preferred.
