Position Overview

The Document Specialist position provides intermediate-level support with a primary focus on the management, control, and delivery of high-volume engineering and construction documentation across active infrastructure projects. This role is critical to ensure accurate processing, tracking, distribution, and archiving project document deliverables in accordance with contractual requirements and company standards.

The position supports increasing project complexity, expanded client documentation requirements, regulatory obligations, and the need for enhanced oversight of revision control, transmittals, submittals, and drawing packages within Procore and Autodesk Vault. As project volumes grow, this role ensures document accuracy, timely client submissions, and compliance with internal and external documentation standards across power generation infrastructure programs.


The Document Specialist II is responsible for managing and controlling project documentation throughout the full document lifecycle, including intake, tracking, revision control, distribution, and final archiving. This role handles complex document deliverables such as engineering drawing packages, RFIs, submittals, transmittals, as-builts, turnover documentation, and regulatory records.

The position ensures that project documentation is complete, properly formatted, accurately versioned, and submitted in accordance with contractual client requirements and established governance standards. The Document Specialist II works closely with engineering, project management, and external stakeholders to coordinate timely document submissions, maintain deliverable logs, and track compliance milestones.

This role serves as an advanced user and subject matter resource for Procore and Autodesk Vault processes, ensuring data integrity, document traceability, and adherence to company and regulatory document control policies.

  • Manage high-volume engineering and project documentation across multiple active programs.
  • Maintain document registers and deliverable tracking logs to ensure schedule compliance.
  • Process and distribute RFIs, submittals, transmittals, drawing packages, and as-builts.
  • Administer revision control and lifecycle status within Procore and Autodesk Vault.
  • Validate document numbering, metadata, formatting, and release approvals.
  • Coordinate formal document transmittals to clients and external stakeholders.
  • Ensure documentation meets contractual, regulatory, and company standards.
  • Maintain controlled master drawing sets and archive superseded documents.
  • Support audit readiness through organized documentation retrieval.
  • Collaborate with Engineering and Project Teams to meet deliverable deadlines.
  • Identify document workflow improvements.

Minimum Qualifications

  • High school diploma or equivalent (preferred some college)
  • 3–5 years of document control, engineering support, or construction documentation experience
  • Demonstrated experience using Procore and/or Autodesk Vault
  • Proficiency in Microsoft Office, SharePoint, Adobe, and Bluebeam
  • Strong understanding of engineering drawing revision control
  • Ability to manage multiple concurrent projects
