Your Mission: The Donor Database Manager oversees Sun Health Foundation's donor data ecosystem, ensuring accurate gift processing, data integrity, and comprehensive reporting. This role serves as the administrator for the Raiser's Edge database (database view and NXT/web-view) and completes gift processing. The Manager also provides operational and project management support for donor relations communications, demonstrating in-depth knowledge of donor audiences, identifying and creating segmented lists for targeted outreach, and completing other operational tasks as needed.

Key Responsibilities:
Donor Database Administration & Data Integrity
  • Serve as Raiser's Edge (database/NXT) administrator; manage constituent records, security roles, global changes, imports/exports, maintenance, and troubleshooting.
  • Drive the Foundation's complete adoption of Raiser's Edge, supporting effective utilization of database and NXT functions and developing automated processes and integrations with event and communications platforms to increase efficiency.
  • Facilitate the Foundation's successful transition to Raiser's Edge Unified View in alignment with the Blackbaud roadmap.
  • Develop and enforce data entry standards, constituent code guidelines, and business rules to support accurate donor analysis, segmentation, and reporting.
  • Perform daily/weekly/monthly database maintenance to ensure efficient performance and data quality.

Gift Processing & Compliance
  • Complete accurate and timely gift entry and processing, pledge administration, pledge reminders, payments, tribute entries, and gift receipts. Provide operational support as needed for gift acknowledgment communications.
  • Ensure all donation-related communications (hard copy and electronic) are properly filed and recorded for audit and compliance purposes.
  • Establish and maintain best-practice procedures for gift administration and data workflows.
  • Serve as the lead contact for donor inquiries related to gifts, credit card donations, and donor database requests.

Reporting, Analytics & Insights
  • Create and maintain Raiser's Edge queries, reports, dashboards, and comparative analyses (e.g., giving history, event totals, campaign results, Board/committee reports).
  • Conduct data analysis to inform segmentation, moves management, pipeline development, and leadership decision-making.
  • Prepare written documentation of processes and procedures for reference, compliance, and training.

Finance Reconciliation & Governance
  • Collaborate with Accounting/Finance (e.g., the Controller) to reconcile donor database records with financial statements and monitor monthly revenue/expense activity.
  • Uphold data governance practices that promote accuracy, consistency, security, and audit readiness.

Donor Relations & Communications Operations
  • Provide key support for the annual schedule of donor mailings, e-solicitations, e-blasts, and other database-driven communications, including defining target audiences, criteria, and parameters.
  • Work collaboratively across Foundation to ensure cohesive implementation of database strategies with moves management, marketing/communications, events, grant proposals, and stewardship.

Training, Collaboration & Support
  • Provide training and support to Foundation staff on Raiser's Edge database and NXT processes and tools to ensure appropriate and effective role-based use across the organization.
  • Act as liaison with vendors/consultants to advance system capabilities and best practices.
  • Maintain strict confidentiality regarding donor and employee information and adhere to organizational policies and applicable laws.

Events & Department Support
  • Support signature events and fundraising initiatives with clean lists, segmentation criteria, registration data, and post-event reporting.
  • Assist with other Foundation activities and special projects as assigned.
  • Demonstrate the Sun Health Mission and Values.

Your Qualifications:
  • Bachelor's degree in a related field required, or an equivalent combination of education, training, and relevant professional experience may be considered in lieu of a degree.
  • Required: Minimum three years administering advanced features of Raiser's Edge Database View and Raiser's Edge NXT (Web View)
  • Required: Minimum 2-years non-profit/philanthropy experience.
  • Preferred: Marketing operations experience.
  • Required: Advanced experience in Raiser's Edge Database View and Raiser's Edge NXT (Web View), including experience in Raiser's Edge data integrity, imports/exports, constituent code standards, policy development and documentation.
  • Required: Reporting & Analytics: Advanced competence in building Raiser's Edge queries, dashboards, and standard/custom comparative reports, including advanced skills manipulating data exported from Raiser's Edge and Excel.
  • Must possess or be able to obtain a Level 1 Arizona Fingerprint Clearance Card.
  • Ability to travel in own vehicle, current Driver's license and auto insurance is required.
