Job description

WHO WE ARE

PLS Pros is a national mechanical and electrical installation company specializing in conveyor systems, automated storage and retrieval systems (ASRS), mezzanines, robotics, and automated material handling. We install complex systems across all 48 contiguous states for some of the most demanding clients in the industry.

We are a growth-stage company on a defined path to $100M. We are building the infrastructure — the people, the systems, and the processes — to get there. The PM Assistant role is part of that build.

THE OPPORTUNITY

This is not an entry-level admin role. The PM Assistant is a structured launch point for a career in project management within the industrial installation and material handling industry.

You will be working directly alongside experienced Project Managers and Field Project Managers on live installation projects — supporting job cost tracking, documentation, scheduling, and change order management from day one. Over 24 months, you will develop the technical and systems skills to run projects independently and step into a full Project Manager role.

If you are a strong Excel user with a technical or construction management background, a desire to learn the field, and the discipline to own your work — this role is built for you.

WHAT YOU'LL DO

Project Support — Documentation & Reporting

— Prepare and maintain daily and weekly project reports across active installation projects

— Compile crew logs, hours summaries, and work-completed documentation

— Coordinate project kickoff, milestone, and closeout documentation packages

— Maintain organized project files across all active accounts

Job Cost Tracking

— Maintain and update job cost spreadsheets (Excel) — labor hours, material costs, variance tracking

— Reconcile weekly labor data against project budgets

— Flag budget variances to the assigned Project Manager same day identified

— Support change order documentation — identify scope changes, quantify cost impact, prepare PM review packages

Change Order & Delay Notice Processing

— Support change order initiation within 24 hours of scope change identification — prepare documentation and route to PM

— Support delay notice preparation within 24 hours of identified schedule delay

— Maintain a live change order log and delay notice log across all active projects — 100% current at all times

Schedule Management

— Maintain master project schedules under PM direction — update milestones, track actuals vs. plan

— Build and distribute weekly look-ahead schedules for assigned projects

— Flag schedule risks to the PM as soon as identified

Field Experience

— Complete a hands-on field tour of duty working alongside installation crews on active projects — timing and duration defined by leadership based on business need and your development progress

— Build firsthand understanding of field execution: how installs progress, what drives schedule and cost decisions, what crews face on-site

— Field experience is a required milestone in your development track — not optional

Systems & Platforms

— Operate Bullhorn for manpower records and labor data

— Maintain project document libraries — organized, current, accessible

— Support internal compliance documentation as directed

WHAT WE'RE LOOKING FOR

Required

— Bachelor's degree — Engineering, Construction Management, Business, or related field

— High proficiency in Microsoft Excel — job cost tracking, scheduling, data organization

— Strong documentation and written communication skills — accuracy and timeliness are non-negotiable

— Ability to learn and apply project management systems quickly

— Willingness to travel and work on field project sites across the country

— OSHA 10 certification required within 90 days of hire

Preferred

— Experience in construction, installation, or industrial project environments

— Familiarity with workforce management or document management platforms

— Exposure to conveyor systems, material handling, ASRS, or mechanical/electrical installation

— Demonstrated track record of accurate, timely work under deadline

Pay: $70,000.00 - $100,000.00 per year
