Order Entry Specialist

Location: Watertown, WI
Pay: $19.00–$22.00 per hour (based on experience)
Schedule: Monday–Friday, 7:30 AM–4:00 PM
Department: Customer Service
Reports To: Customer Service Director

Ad-Tech Industries is seeking a detail-oriented and organized Order Entry Specialist to join our Customer Service team. This position plays a vital role in ensuring customer orders are entered accurately, processed efficiently, and invoiced in a timely manner. If you enjoy working in a fast-paced office environment, have strong computer skills, and take pride in accuracy, we'd love to hear from you!

What You'll Do
  • Enter customer orders accurately into our order entry system.

  • Process customer invoices for completed orders.

  • Maintain inventory receipts and usage records.

  • Assist with month-end closing activities, including reports within Sage accounting software.

  • Answer incoming telephone calls professionally.

  • Welcome visitors and assist with front office responsibilities.

  • Monitor and respond to the general voicemail box.

  • Prepare customer quotations as needed.

  • Order office or production supplies from approved requisitions.

  • Work closely with Customer Service, Production, Accounting, and other departments to ensure orders are processed efficiently.

  • Assist with additional administrative and clerical duties as assigned.

What We're Looking For
  • High school diploma or GED required.

  • Previous order entry, customer service, administrative, or office experience preferred.

  • Strong attention to detail and excellent organizational skills.

  • Excellent data entry and typing skills (approximately 45 WPM preferred).

  • Ability to manage multiple priorities while maintaining accuracy.

  • Excellent written and verbal communication skills.

  • Intermediate proficiency in Microsoft Office (Word, Excel, and Outlook).

  • Experience with ERP, accounting, or order entry software is a plus, but not required-we will train the right candidate.

  • Ability to work independently while collaborating effectively with multiple departments.

Physical Requirements
  • Primarily sedentary office position.

  • Frequent use of a computer, keyboard, telephone, and other standard office equipment.

  • Occasional standing, walking, bending, or lifting light office materials.

  • May occasionally enter the production area, where appropriate PPE is required.

Work Environment

This position works in a clean, climate-controlled office environment equipped with modern office technology. Daily interaction with office staff, production departments, and occasional customer communication are essential to the role.
