GENERAL STATEMENT OF JOB

This position oversees and supports key Enrollment Services operations, including front counter, Contact Center, document processing, and staff supervision, to ensure an efficient and positive student experience. The role maintains the integrity of student records, manages student immunization record processing, and integration system testing.

SPECIFIC DUTIES AND RESPONSIBILITIES Essential Functions:
  • Assists with management of front counter services, Contact Center, Information Desk, document processing, and staff scheduling for all areas, to ensure optimal student experience.
  • Supervises Enrollment Services Assistant staff and provides for their training and cross-training, in coordination with Departmental Administrators and/or Director.
  • Participates in College-wide committees and initiatives.
  • Maintains the integrity of the College’s student information database.
  • Troubleshoots issues and provides avenues for resolution.
  • Monitors departmental processes and makes recommendations for improvement to best practices, customer service, policies, and procedures.
  • Processes student immunization record updates to allow for enrollment at the College, and provides communication to individual students on the status of their immunization record in the enrollment process.
  • Resolves duplicate person records in coordination with the appropriate offices at the College.
  • Reviews and resolves complex questions regarding student residency and billing rates with appropriate offices at the College as needed.
  • Analyzes student records identified for suspicious activity and/or potential fraudulent student data, notates the student record accordingly and provides updates to appropriate College offices.
  • Participates in system testing and maintains SOP documentation for imaging system and integration software that impact the enrollment processes.
  • Is cross-trained in all key enrollment services areas.
  • Performs other duties as assigned.
MINIMUM QUALIFICATIONS
  • Three (3) years of experience in an educational environment, social service agency, or in the private business sector
  • Experience in one area of student services, such as admissions, registration, student records, financial aid, academic advising, or testing
  • Strong computer skills with knowledge of Microsoft Office and Enterprise Resource Planning tools
PREFERRED QUALIFICATIONS
  • Knowledge of Ellucian Colleague; and document imaging system
  • Ability to work efficiently in a fast-paced work environment, with demonstrated multitasking and problem-solving skills
  • Excellent interpersonal, written, and verbal communication skills
  • Ability to work independently and within a team-oriented setting
  • Ability to use discretion and judgment
SUPPLEMENTAL INFORMATION

Monday – Friday, 9:00 a.m. to 5:00 p.m., with

Tuesdays rotating between these hours and 11:00 a.m. to 7:00 p.m.

Occasional Weekend hours, 8:00 a.m. to 1:00 p.m.
