Description & Requirements
Maximus is currently seeking an HR Coordinator - Verification.
The HR Coordinator - Verification serves as a key point of contact supporting employment verification and compliance-related processes, including I-9s, background investigations, and employment inquiries. This role partners closely with candidates, employees, and HR/Operations teams to ensure timely, accurate, and confidential handling of employment data and requests.
This position is highly detail-oriented and process-driven, requiring strong organization and the ability to manage multiple requests in a fast-paced environment. The HR Coordinator provides frontline support, maintains tracking tools, supports audit readiness, and ensures a high level of customer service across all interactions.
This is a cross-functional role that may also support general HR inquiries based on business needs and volume demands.
This is an onsite position in Crown Point, IN or West Lafayette, IN.
Essential Duties and Responsibilities:
- Act as first line of support to candidates, employees, and HR/Ops partners on issues relating to I-9s, Background Investigations, VOEs, Unemployment inquiries, MALT inquiries, and AskHR inquiries.
- Responsible for updating multiple tracking spreadsheets and interdepartmental online tools.
- Coordinate follow-up communications and actions with candidates, employees, and HR/Ops partners.
- Responsible for the accurate reporting of employment-related data via excel spreadsheets.
- Participate in audits to ensure accuracy.
- Maintain a high degree of accuracy and organization.
- Determine appropriate action for each request such as providing input, maintaining confidentiality, and escalating issues.
- Attend team meetings to discuss status of outstanding tasks.
- Provide exceptional customer service and maintains a professional demeanor especially during difficult and stressful situations.
- Collaborate and assist teammates.
- Perform additional duties as assigned.
Minimum Requirements
- High School Diploma or equivalent with 0-2 years of relevant experience.
- Strong communication skills, both written and verbal
- Ability to handle sensitive and confidential information with discretion
- Basic proficiency in Microsoft Office, particularly Outlook and Excel
- Ability to follow defined processes and maintain accuracy in a high-volume environment
- Strong organizational skills with attention to detail
- Ability to manage multiple tasks and meet deadlines in a fast-paced setting
- Customer service mindset with the ability to professionally handle inquiries
Preferred Qualifications
- 1+ years of Human Resources or administrative support experience
- Experience supporting employment verification processes (I-9s, background checks, VOEs, unemployment, or related)
- Familiarity with HR systems such as Workday, Applicant Tracking Systems, or HRMS
- Experience working cross-functionally with HR, operations, or shared services teams
