Job description

Position: Editorial Coordinator – Journals

Type: Temporary: (3-Month Contract)

Location: Alexandria, VA (free parking)

Hours: 40 hours per week

Hybrid Schedule: Yes (In office on Mon, Tue & Wed; remote on Thur & Fri)

Pay: $23 p/hr

Start date: ASAP

***IMPORTANT PROJECT DETAILS***:

 This position will be providing administrative work on the "Journals Team" which is a part of the Communications Business Unit of a fast-paced association in Alexandria, VA.The assignment involves performing routine checks (“tech checks”) on submissions and communicating with authors on what needs to be revised. Also responsible for identifying red flags and escalating to the Assistant Managing Editor or Senior Managing Editor. An outline of necessary materials and information to look for will be provided. Light communication with authors that isn’t provided through a template may be required.This position is heavier on the administrative side, and may not be responsible for all of the responsibilities in full job description below; however, please see the "required" skill set/experience:

REQUIREMENTS:

Editorial Manager experience or quick to pick up new procedures in a content management system. Previous experience with ScholarOne or EJ Press is also acceptable. Must have excellent attention to detail and ability to multitask.

The Editorial Coordinator, Journals is responsible for supporting authors, editors, and reviewers throughout the editorial process for submissions to the Associatoin.

Reporting Structure

The Editorial Coordinator, Journals reports to the Senior Managing Editor, Publications.

Key Responsibilities

· Track the peer-review process of manuscripts from submission to publication using the Editorial Manager system, including:

o Performing quality checks on submissions

o Ensuring all legal forms are collected and archived

o Monitoring peer reviewers and editors

o Processing revised manuscripts

o Revising and sending decision letters

o Editing accepted manuscripts and transmitting them to the publisher

· Support editors, reviewers, and authors regarding Editorial Manager use and troubleshooting

· Review author and journal issue proofs

· Write and update standard operating procedures for journal tasks

· Provide the Senior Managing Editor with weekly and monthly reporting as directed

· Collaborate with the Senior Managing Editor and the Education and Meetings BU to create the Annual Meeting supplement, editing abstracts for accuracy, grammar, and style

· Manage the supplements workflow by maintaining a calendar of proposed supplements and organizing communications with authors and the Research and Quality BU

· Assist with other ad hoc tasks associated with the Publications or Communications teams

· Participate on other internal teams, either through formal assignment or on an ad hoc basis

Qualifications

· Bachelor’s degree (relevant experience and/or certifications may be substituted for a degree)

· 2+ years of publishing or editorial experience, including at least one year supporting the peer-review process of a scientific journal, preferably in the health sciences

· Excellent attention to detail, copyediting, communication, and project management skills

· Ability to work independently but also collaborate with team members and take direction from leadership

· Problem-solving skills and focus on meeting deadlines

· Experience with manuscript submission software preferred
