Job description

Are you detail-oriented, customer-focused, and passionate about supporting high-quality scholarly publishing? The American Society of Civil Engineers (ASCE) is seeking an Editorial Coordinator, Journals to join our team. The Editorial Coordinator serves as an integral part of the Journals Editorial team by supporting all stages of peer review for several leading engineering journals from initial submission through handoff to ASCE Production under the supervision of a Managing Editor.

The Editorial Coordinator often serves as the first line of communication for authors, editors, and peer reviewers and, therefore, represents the quality and reputation of the journals. The successful candidate will produce clear written materials, prioritize and manage concurrent assignments, and contribute to the timely delivery of high-quality work.

What You'll Do

As an Editorial Coordinator, you'll help ensure the smooth and timely progression of manuscripts from submission through peer review and into production. You will:

  • Process new and revised manuscript submissions and editorial decisions
  • Utilize and oversee agentic, AI-enabled tools within established editorial workflows
  • Manage and respond to journal inbox inquiries
  • Run and monitor reports on manuscript turnaround times and assist with follow-up
  • Support editorial board meetings by preparing reports and taking notes as needed
  • Troubleshoot submission system issues and provide administrative and technical support
  • Partner with Managing Editor(s) on coordinating special collections
  • Contribute as an active member of the Editorial team and Publications Division by participating in meetings and collaborating with colleagues across teams
  • Limited domestic travel within the U.S. may be required, comprising 1-2 trips of less than a week per year.

What You Bring

  • One to 3 years of relevant experience within scholarly publishing is preferred. This may be gained through professional experience, training, education, or other relevant experiences.
  • Experience with journal submission systems as an Editorial Coordinator or Editorial Assistant is highly preferred.
  • Significant customer service experience and the ability to communicate effectively in writing may be considered in lieu of specialized knowledge.
  • This role involves managing multiple projects and deadlines while contributing to the accuracy, quality, and timely delivery of assignments.
  • A high degree of computer literacy and thorough proficiency with MS Office, Teams, and SharePoint or equivalent tools.
  • Completion of a 4-year or 2-year college or university degree is also preferred.

Workplace: Hybrid, Remote (Reston, VA)

This position may be structured as hybrid or remote. We employ only in the following states: CO, DC, FL, GA, ID, KY, MA, MD, NC, NM, NV, PA, SC, TX, UT, VA, WI, & WV.

Why ASCE?

This role offers opportunities to develop publishing expertise, build strong professional relationships, and make a meaningful impact on the dissemination of technical knowledge.

The American Society of Civil Engineers (ASCE) is a global nonprofit professional membership association dedicated to the advancement of the civil engineering profession in order to serve the public good. To accomplish ASCE's mission, ASCE staff works together as a team, based on a foundation of trust, striving for individual and organizational excellence. To achieve our shared goals, we maintain a relentless focus on members and a commitment to continuously grow and improve individually and collectively. We cultivate a culture of inclusion for all employees that respects their individual strengths, views, and experiences. We believe that our differences enable us to be a better team – one that makes better decisions, drives innovation, and delivers better business results. All qualified candidates including historically excluded individuals, protected veterans, women, and individuals with disabilities are encouraged to apply.

For consideration, submissions of interest must contain a resume and self-written cover letter. If you use artificial intelligence tools to draft or substantially edit your cover letter, please indicate this in your letter. Candidates will be held fully responsible for the content of their applications.

The anticipated salary range for this position is from $45-55K per year with comprehensive benefits including medical, dental, vision, life, disability, legal, and pet insurance, 12 paid holidays, 18 days PTO (accrued over the year), corporate ASAE membership, and tuition reimbursement.
