What is an editorial assistant?

The job of an editorial assistant is to review manuscripts for senior editors or reviewers at a publishing house, newspaper, magazine, digital outlet, or scholarly journal and perform numerous administrative duties for other editors. Your specific responsibilities in this career differ depending on the type of media in which you work. At a publisher, you may acknowledge the receipt of manuscripts from authors, read piles of manuscripts, and recommend some for editors. At a newspaper, you may screen article pitches or help perform background research for other writers or editors. You also help editors coordinate publication timelines and assist with publicity duties.

What are the key skills and qualifications needed to thrive as an editorial assistant, and why are they important?

To thrive as an Editorial Assistant, you need strong writing, editing, and organizational skills, typically supported by a degree in English, journalism, or a related field. Familiarity with content management systems (CMS), Microsoft Office Suite, and editorial style guides such as AP or Chicago is important. Excellent communication, attention to detail, and the ability to manage multiple tasks efficiently are standout soft skills in this role. These competencies ensure the smooth production of high-quality content and support the editorial team's workflow and deadlines.

What are some common challenges faced by editorial assistants, and how can they effectively manage them?

Editorial Assistants frequently juggle multiple deadlines and tasks, such as proofreading, coordinating with writers, and managing editorial calendars. Balancing these responsibilities can be challenging, especially during production cycles or when priorities shift quickly. Developing strong organizational skills, clear communication, and flexibility are key to managing workload effectively. Building collaborative relationships with editors and contributors also helps streamline the workflow and minimize last-minute issues.

Do I need a degree to be an editorial assistant?

An editorial assistant typically does not require a specific degree, but a background in English, journalism, or communications can be beneficial. Strong writing, editing skills, and familiarity with publishing tools are often more important than formal education. Some employers may prefer candidates with relevant coursework or internships.

How much does an editorial assistant get paid?

The average salary for an editorial assistant ranges from $30,000 to $50,000 per year, depending on experience, location, and the employer. We provide person-centered residential services for individuals with intellectual and developmental disabilities across Delaware, helping each person build independence, meaningful connections, and a life they're proud of. Be the Heart of Our Office.
At Above Expectations, the work we do every day supports individuals in our residential homes with dignity, respect, and compassion. Behind the scenes, our Administrative Assistant ensures our office runs smoothly, our staff feel supported, and our mission stays moving forward. This role is the welcoming face of our organization-and the steady hand that keeps daily operations on track.
We're looking for someone who loves being that dependable presence. Someone who thrives in a role where no two days look the same. Someone who understands that strong administrative support is the foundation of a strong team.
What You'll Do
As the Administrative Assistant, you'll be the steady, reliable presence that keeps our office running smoothly every day. Your work will support multiple departments, welcome new team members, and help maintain the organized, mission-driven environment that our staff and individuals depend on. In this role, you will:
Front Desk & Guest Experience
  • Welcome and support staff, visitors, families, and new hires with professionalism and warmth
  • Answer and transfer phone calls, screening when necessary
  • Answer the door and greet visitors, ensuring a positive and organized entry experience
  • Maintain the visitor log and provide front-desk coverage throughout the day
  • Keep the reception area, waiting room, conference room, and kitchen clean, organized, and inviting

Administrative & Office Support
  • Provide administrative assistance to HR, Finance, Program, and other departments
  • Maintain filing systems; create, organize, and file documents as needed
  • Retrieve information from records, emails, minutes, and other documents; prepare summaries when requested
  • Respond to administrative inquiries and help resolve questions
  • Assist new hires with electronic onboarding to ensure a smooth and supportive start
  • Schedule meetings, manage calendars, and coordinate appointments for managers or supervisors
  • Record and distribute meeting minutes or other required documentation
  • Order office supplies, track inventory, and ensure essential items are always stocked
  • Coordinate office equipment needs and partner with the IT department when issues arise

Document, Data, & Process Management
  • Create and maintain file folders for staff, program, and administrative needs
  • Obtain, distribute, and close maintenance requests for residential homes
  • Obtain supply lists from group homes and ensure accurate tracking
  • Receive, sort, and deliver mail
  • Track and issue company equipment, ensuring logs are accurate and up to date

Events, Engagement, & Other Support
  • Lead and coordinate the Events Committee, overseeing engaging activities and celebrations for both the individuals we serve and our staff.
  • Receive and deliver office or home supplies as needed
  • Perform light housekeeping tasks to maintain a professional office environment
  • Jump in to support special projects and "other duties as assigned" to contribute to the overall success of the organization

Who You Are
You're someone who finds purpose in supporting others and keeping an organization running smoothly behind the scenes. You take pride in being dependable, organized, and welcoming - the person people trust when they need help, answers, or calm in a busy day. You thrive in a role where every interaction matters and where your work directly contributes to a mission that changes lives.
Preferred Qualifications
  • Strong interpersonal skills with the ability to greet and support staff, visitors, and families with warmth and professionalism
  • Excellent communication skills, both written and verbal
  • Highly organized with the ability to manage multiple tasks, priorities, and deadlines
  • Previous experience in an administrative, receptionist, or office support role
  • Comfortable using technology, including Microsoft Office, email platforms, electronic onboarding systems, and digital record-keeping
  • Strong attention to detail and accuracy in managing documents, files, and records
  • Ability to maintain confidentiality and handle sensitive information appropriately
  • A proactive mindset - you anticipate needs, take initiative, and follow through
  • Reliable, punctual, and committed to supporting day-to-day office operations
  • Customer service-oriented with a positive and solutions-focused attitude
  • Experience coordinating events or activities (a plus, but not required)
  • Ability to adapt to changes and support a fast-paced, mission-driven environment
  • High School Diploma or GED required

Schedule, Work Environment & Physical Expectations
This is a full-time, onsite role based at our main office in Harrington, Delaware, where you'll be a steady and welcoming presence for staff, visitors, and the individuals we serve.
  • Schedule: Monday-Friday
  • Hours: 8:00am-4:30pm
  • Flexibility: Occasional after-hours support may be needed during special events for the individuals we serve

  • Lift or carry small packages or office supplies (generally up to 20 lbs)
  • Bend, reach, or organize materials as needed for filing or restocking
  • Use a computer, phone, and other office equipment throughout the workday
  • Communicate clearly in person and over the phone to support staff, visitors, and the individuals we serve
  • Navigate a busy office environment with frequent foot traffic, multitasking with professionalism and ease

  • Paid time off for eligible employees to support work-life balance
  • Company-paid life insurance, with voluntary options for additional coverage (for eligible employees)
  • Optional short-term and long-term disability coverage for added peace of mind
  • A meaningful role where your work directly supports the individuals we serve and the team around you
  • A warm, mission-driven culture focused on teamwork, growth, and doing what's right
  • Opportunities to learn, grow, and make a positive impact every day
