Job Summary:ย 

The Specialist, QMS Documentation is responsible for creating, preparing, managing, and controlling quality and certification documentation in support of the company's Quality Management System (QMS). This role ensures SOP's, work instructions, quality records, certification packages, and related documentation standards, processes, and certifications are accurate, current, and compliant with applicable industry, customer, and regulatory requirements. The Specialist partners with Quality, Engineering, Manufacturing, and Operations to maintain documentation integrity and support certification, audit, and continuous improvement activities across telecom and data center operations.

Essential Duties and Responsibilities
  • Create, maintain, and control quality documentation including SOPs, work instructions, quality plans, inspection records, and certification packages in accordance with QMS requirements.

  • Support the development and maintenance of certifications and compliance documentation relevant to telecom and data center infrastructure (e.g., NEBS, UL, ISO 9001, FCC, FAT documentation).

  • Manage document control processes including version control, review cycles, approval workflows, and document distribution.

  • Collaborate with Engineering, Quality, Manufacturing, and Operations teams to develop and update documentation that accurately reflects current processes and standards.

  • Support Factory Acceptance Testing (FAT) documentation preparation and execution in coordination with Engineering and Quality teams.

  • Assist in internal and external audits by preparing, organizing, and presenting required quality documentation and records.

  • Identify documentation gaps, inconsistencies, or compliance risks and work with relevant teams to resolve them in a timely manner.

  • Maintain the document management system, ensuring all records are organized, accessible, and audit-ready at all times.

  • Support continuous improvement initiatives by documenting updated processes, revised work instructions, and lessons learned.

Managerial Responsibility

  • This role has no direct reports

Travel/Shift Requirements

  • Primarily on-site; occasional travel (<10%) to customer locations, supplier facilities, or other Telamon offices as business needs require.

Work Environment and Physical Demands

  • Primarily office environment with occasional interaction on the manufacturing floor.

  • Frequent computer and keyboard use for extended periods.

  • Occasionally lift materials up to 25 pounds.

Skills and Abilities Required

  • Strong technical writing and documentation skills with high attention to detail and accuracy.

  • Working knowledge of QMS frameworks and documentation standards (e.g., ISO 9001, NEBS, UL, FCC, or equivalent).

  • Experience with document control systems and document management best practices.

  • Familiarity with telecom and/or data center infrastructure, equipment certifications, and quality requirements.

  • Ability to work cross-functionally with Engineering, Quality, Manufacturing, and Operations teams.

  • Proficiency in Microsoft Office (Word, Excel, Outlook, Teams); experience with document management platforms preferred.

Education and Experience Required

  • Associate or bachelor's degree in Engineering Technology, Quality Management, Technical/Business writing, Information Management or Industrial Engineering or related field preferred; equivalent experience will be considered.

  • 3+ years of experience in quality documentation, document control, or QMS administration.

  • Experience in telecom and/or data center environments strongly preferred.

  • Familiarity with certification processes (NEBS, UL, ISO 9001, FCC, or similar) preferred.
