Role description:

Arcadis is seeking a Document Control Specialist to join the IWTO Team. The Document Control Specialist assembles and formats project deliverables and distributes them to Arcadis' clients. Executes document control and provides administrative project support to design teams, project managers, and other senior staff.

Applicants local to the Arcadis Cary, NC office preferred.

Role accountabilities:

Essential Duties and Responsibilities 

  • Coordinate, receive, process, and distribute architectural, engineering and construction documentation such as drawings, specifications, data sheets, construction submittals, RFI's, and other documents as requested.
  • Coordinate architectural and engineering (A/E) design packages with Project Managers to review composition and deadlines of client deliverables. 
  • Provide support for project set up, set up file transfer sites on Procore and other FTS.
  • Communicate with Project Managers and Project Engineers to obtain package and team updates, verify deliverable components. 
  • Work with discipline and quality control teams to update and format outgoing files for adherence to professional, Arcadis and industry standards. 
  • Assemble and prepare A/E reports and deliverable packages including combining multiple documents in Bluebeam. 
  • Organize permit sets by assembling electronic and hard copies and assuring inclusion of appropriate A/E stamped drawings, affidavits, and other documents as required. 
  • Build and proof deliverable lists and reconcile discrepancies. 
  • Prepare drawing lists of files issued with deliverable packages. 
  • Proof, edit, format and brand documents, presentations, and spreadsheets in adherence to industry and company standards and guidelines. 
  • Upload packages to file transfer sites and communicate with clients to assure receipt of files. 

Qualifications & Experience:

  • Bachelor's degree in engineering required
  • 2+ years previous document control experience within the construction and/or architectural/engineering industry required
  • Excellent verbal, written and communications skills
  • Advanced MS Office Suite required
  • Experience with Procore & Bluebeam required
  • Proactive, deadline driven in completing tasks and meeting deadlines
  • Strongly motivated, well organized, and shows professional initiative
