OVERVIEW

We are currently seeking a Document Control Admin for our Transportation Division in Chicago, IL.

The Document Control Admin assists and supports the project team on assigned projects. The position works under direct supervision, performs routine daily activities and gathers and distributes information. The Document Control Admin must be a flexible and adaptable team-player, as well as have strong communication and client service skills.

RESPONSIBILITIES

  • Coordinate and manage an effective project information management system within Autodesk Construction Cloud (ACC) and the client EDMS Trimble Unity Construct (TUC), in line with WVTCP and CTA procedures.

  • Perform QA check of documentation before submittal to external parties, including CTA file naming convention, review of headers, footers, templates, etc

  • Manage and support the documentation submittal processes, including transfer of comments, ensuring documents are submitted in a timely manner in line with project's requirements

  • Ensure documents are reviewed, approved, and issued by authorized personnel before release

  • Distribute controlled documents and ensure current versions are available at points of use

  • Train staff on document control procedures and systems as required.

  • Conduct periodic document audits to verify compliance and identify gaps or improvements

  • Monitor compliance with document control processes and report nonconformities or risks.

  • Attend meetings as dictated by the project requirements

  • Offer advice and support to both the project team and interested parties, as required

  • Maintain effective working relationships with all interested parties.

QUALIFICATIONS

  • Previous experience working within Information or Document Control management is desirable

  • Knowledge and experience of working to US and international standards and codes of practice for information management & document control.

  • Knowledge of electronic information and document control systems. - Knowledge and experience of using Autodesk Construction Cloud (ACC) and Trimble Unity Construct (TUC) would be an asset

  • Proficiency in Microsoft Office

  • Advanced information and communication technology skills

  • Excellent organizational skills with a high attention to detail and accuracy.

  • Ability to work to tight deadlines and under minimum supervision

  • Strong written, verbal, analytical and interpersonal skills

  • Is a self-starter who manages their own time and seeks to add value to their function

  • Can demonstrate initiative and resilience

  • Can work effectively in a team environment.

  • Salary Range: $25.39/hr to $38.09/hr based on experience
